Position summary:
The Client Service Administrator (CSA) position is critical for achieving leverage of the advisor’s time. This position supports daily operations of the practice including responding to client service requests, completing post meeting work, maintaining client information, and other administrative tasks as assigned. The Client Service Administrator reports to and is employed by Hutchinson Area Associates.
This position is in-office in Hutchinson. Part time hours, 20 hours a week during standard business hours with growth ability to move into full time hours down the road. No benefits provided. Compensation $22-25/hr.
Job Description
Position Roles/Responsibilities/Accountabilities
- Handles incoming telephone calls to Hutchinson Area Associates and responds to requests for information
- Greet clients and visitors when they arrive in a professional manner
- Drive client facing activity in the proactive by scheduling meetings with clients on behalf of the practice’s Financial Advisors
- Assist Financial Advisors in preparation and follow up of client meetings by communicating professionally, capture detailed meeting notes, draft clear client summaries, and proactively support client follow-ups.
- Organize client meeting preparations, maintain accurate client records in Salesforce, and assist with new account setups and forms.
- Maintain client service model within practice
- Project and Team Support: Collaborate on special projects, marketing initiatives, and event planning
- Light bookkeeping, basic accounts receivable and payable in Excel
- Prepares routine correspondence, reports, and special projects
- Update and contact management system with client contact and preference information
- Organize and maintain client correspondence including maintenance of internal and external event lists, mailing lists, birthday cards lists, and monthly calling lists as well as maintaining electronic files
- Monitor and support licensing and continuing education requirements for all members of the team
- Support the financial advisors with a variety of functions and tasks including ordering office supplies
- Complete other miscellaneous tasks as assigned
Position Qualifications
- Previous administrative/secretarial experience desired
- Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) required
- CRM/Salesforce experience preferred
- Strong written and verbal communciation skills
- Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions
- Ability to maintain integrity of sensitive/confidential information
- Basic understanding of our products and services, and Thrivent Financial
As part of Hutchinson Area Associates' recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the hiring/contracting process.
