Behavioral Health Office Administrator

Position Summary :

The office administrator offers the opportunity to work in a dynamic, team-oriented environment that helps individuals overcome substance abuse addictions. The Medical Administrator is the first face and voice of the organization’s mission.

Education :

Bachelor's degree preferred – relevant job description will be considered.

Roles and Responsibilities :

Welcome and greet all patients in person and remote.

Verifies client information, takes vital signs and confirms reason for appointments.

Collects urine samples for analysis.

Obtains any necessary pre-authorizations.

Arranges for referrals to other providers.

Obtains Release of information signatures.

Answers in bound phone calls and projects a polite and professional manner, while using proper telephone etiquette and documentation of the call. Records phone messages and ensures they are received in a timely manner.

Schedules and cancels appointments.

Facilitates patient flow by notifying the providers of patient’s arrival, being aware of delays and communicating with patients and clinical staff.

Directs issues or potential issues to the designated administrator / provider.

Assist provider during appointments as needed.

Maintain confidentiality and comply with HIPPA laws.

Staff will need to demonstrate a high-level, broad understanding of MAT, Harm Reduction, Low Barrier / High Access, HIPAA, OSHA and safety practices, verbal de-escalation and crisis intervention.

Adhere to medical program policies and procedures.

Excellent time management and organizational skills.

Maintain a community contact list.

Skills / Qualifications :

Medical or behavioral health office experience (1 year required)

Multitasking

Being flexible due to office needs.

Telephone skills
