NATURE AND SCOPE OF JOB:

 
To supervise, coordinate and direct the activity program of the school. To supply the leadership necessary for developing the best possible activity program for students and providing students with worthwhile learning experiences.

JOB FUNCTIONS:

ESSENTIAL FUNCTIONS:

  1. Administers, enforces and interprets all activity regulations as specified by the State Activity Association, CCSD policies, regulations and procedures, and the 4A Conferences' By-Laws in which membership is maintained.
  2. Handles and disseminates all relevant WHSAA reports, information, and communication pertaining to the district activity program.
  3. Holds meetings with coaches and sponsors whenever necessary; keeps them informed of all matters pertaining to the school activities program.
  4. Acts as a consultant to school administration, sponsors, and coaches on matters pertaining to activities program.
  5. Oversees the creation of the school's master activities schedule.
  6. Schedules building facility needs for practice use and interscholastic activity events.
  7. Assumes responsibility for contest management at all home interscholastic activity competitions.
  8. Is available to meet with parents, students, and coaches to discuss any problems and find workable solutions.
  9. Works to achieve favorable publicity for all activity programs.
  10. Works to coordinate the efforts of the parent booster club with the activity program.
  11. Acts as tournament director for all regional tournaments that are assigned to the school.
  12. Assigns Event Coordinator to supervise the contest management at activities in which the Director of Activities is absent.
  13. Approves assigned away activities contracts and contracts home contests and officials.
  14. Supervises the coordination of school interscholastic transportation, lodging and meals.
  15. Observes and evaluates coaches/sponsors sufficiently in practices and contests to make future recommendations in terms of job expectations and job assignments.
  16. Represents the school and the District in all activity business at conference, district and state meetings.
  17. Maintains a record of athletic and activities reports such as end of season rosters, individual and team achievements, records, etc.
  18. Monitors the evaluation process of the activity staff and programs in assigned secondary buildings.
  19. Recommends coaches and sponsors for rehire to the CCSD Board of Trustees.
  20. Oversees the interview and selection process for new activity staff positions.
  21. Supervises and coordinates the school Activities budget.
  22. Sees that inventories and budgets are properly and promptly prepared by the coaches/sponsors.
  23. Makes recommendations for improvement, repair and/or maintenance of activity facilities.

OTHER FUNCTIONS:

  1. Maintains high visibility for all activity staff members and students.
  2. Makes all necessary arrangements for all non-school facilities needed in the activities program i.e., CCPRD fields, cross country courses, Camplex, etc.
  3. Releases publicity to the press and radio on coming events in athletics and on all special activities in which the school participates.
  4. Sends reminders of upcoming activity events to other schools, officials, judges, event workers, etc.
  5. Coordinates medical and police coverage at various competitions, including ambulance services for all home varsity football games.
  6. Determines scholastic eligibility of all participants in activities and certifies their eligibility on proper state forms.
  7. Coordinates the set-up of athletic facilities for all home interscholastic athletic contests.
  8. Works with the Athletic Trainer to establish procedures for the management and safe operation of the training room.
  9. Develops a reasonable and equitable program for the utilization of the concession stands.
  10. Coordinates all radio and public television broadcasts, as well as the public address system operation at various games.
  11. Cancels or postpones scheduled contests, officials and transportation because of weather or other hazardous conditions. Notifies all parties involved - visiting school, custodians, media, event workers, etc.
  12. Obtains checks and pays contest officials.
  13. Reviews the CCSD Activity Code and the CCSD Coach/Sponsor Handbook annually.
  14. Holds all coaches and participants accountable to the CCSD Activity Code.
  15. Organizes loaning of equipment for staff, music, and activity programs with other district schools and community entities.
  16. Collects and files final season reports on programs, participation, letter winners and outstanding award recipients.
  17. Maintains a file of all Activity Code violations, suspensions from contests, and fulfillments of contract.
  18. Reviews coaches/sponsors' requests to attend specialized clinics in their activity area.
  19. Works collaboratively with the other building Activities Directors as a team player to develop the best Campbell County School District Activities Program possible.
  20. Supervises assigned personnel.
  21. Performs any other duties assigned by supervisor.

  • Knowledge of and implementation of the district supervision and evaluation model.
  • Ability to manage and motivate people.
  • Must possess the ability to see, hear and talk in order to ascertain coach and sponsor effectiveness.
  • Ability to oversee, manage and maintain activity facilities and equipment.
  • Knowledge of each activity's skills progression, structure of productive practices, and competition strategies.
  • Working knowledge of activity competitions and tournament management.

EDUCATION, LICENSE, CERTIFICATION OR FORMAL TRAINING

  • Master's Degree in Administration.
  • Teaching, coaching, and administrative experience.
  • Proper certification issued by the state of Wyoming.
  • Such alternatives to the above qualifications as the Board of Trustees may find appropriate and acceptable.
