Join our team! Successful and leading title insurance agency is seeking an experienced Receptionist to join our team. Attention to detail, great communication skills (verbal and written) great organizational skills, and ability to multi-task in a fast-paced environment are essential for success in this position.
Responsibilities:
- Answer, screen and route calls appropriately
- Greet clients & visitors
- Manage visitor portal and telecommunications systems
- Follow security procedures, such as monitoring the logbook and issuing visitor badges
- Handle queries and complaints via phone, email and general correspondence
- Ensure messages are passed to the appropriate team member in time
- Manage conference room availability /Managing appointment schedules
- Receive, sort, distribute and dispatch daily mail, FedEx,
- Create FedEx Labels/ship Title packages and other packages as necessary
- Handle transcription, printing, photocopying and faxing
- Organize the reception area while complying with office procedures, rules, and regulations.
- Sign for deliveries and ensure all mail and packages are distributed accordingly.
- Data entry of new orders
- Update title commitments
- Light examining
- Handle incoming calls and directing them
- Maintain filing systems and organizing documents
- Provide general administrative support to the team
Requirements:
- 3 years of experience.
- Demonstrated proficiency of basic computer skills such as Microsoft applications.
- Great time management skills
- Outstanding work ethic with the ability to work in both team oriented and self-directed environments.
- Detail-oriented and professional; able to handle confidential information.
- High level of accountability
- Customer service oriented
- Creative problem-solving skills
- Ability to communicate effectively (written and verbal).
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously
