Assistant Community Manager
We are seeking a full-time Assistant Community Manager in the San Jose, CA area. This position requires someone with leasing and administrative experience to work with the Community Manager to manage the maintenance team, vendors, and projects. You are required to successfully lease apartments to future residents and give superior customer service to our current residents when they have questions or concerns. The Assistant Community Manager will assist with a broad range of duties including managing the day-to-day operations of approximately 300 unit-apartment communities, maintaining high occupancy levels, supporting our marketing programs, establishing, and maintaining financial goals, and managing and supporting the property team. The management and oversight of specific projects assigned by the Community Director. This shall include project setup, budgeting, vendor interface, communication, updates to upper management, etc. This position will also travel 25% of the time to the Tishau Holdings portfolio in support of leasing and administrative tasks.
The position requires a candidate with:
- Proven leasing and property management operations experience to reach and maintain owner's objectives relative to resident relations, physical standards of the property, occupancy, income, and expense levels.
- Will know state and federal housing laws
- Handle Complaints/Emergencies from residents in a timely, effective manner.
- Has worked with vendors/contractors in communicating work schedules, billings, vendor relations, and certificates of insurance.
- The Assistant Community Manager is responsible for invoice coding, approving, and submitting all invoices to the accounting for payment
- The Assistant Community Manager will complete pertinent safety checklists with maintenance staff.
- Ensure that lease files are complete and leases are being executed properly.
- Process applicant and resident required forms and applications (Conduct credit, landlord, employment, and criminal background verifications.)
- Will periodic inspection with residents’ move-in/move-outs.
- Review all notices to vacate to determine the cause of the move-out.
- Conduct market surveys monthly and provide trend report information. Shop competition and be aware of neighborhood market conditions.
- Handle incoming phone calls from prospective new residents and complete appropriate paperwork.
- Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, etc.
- Proven experience with budgets and computer skills
- Solid communication, organizational, and administrative skills
- In-depth knowledge of the property management industry
- Strong Marketing and Sales skills
- Possess strong written and verbal communication skills
- Superior customer service and resident relations experience
Specific skills required:
- BA/BS required, or its equivalent in education and experience
- High level of proficiency with Google Suite
- Real Page, OneSite, Lead2Lease, experience a plus
- In-depth knowledge of the property management industry
- Driving 25% of the time to utilize personal transportation to inspect the apartment community in the Peninsula.
- 5 years prior Property Management experience.
- Must have a valid driver’s license and automobile insurance.
- Excellent organizational, prioritization, and communication skills.
- Ability to multitask, remain highly organized, and thrive in a deadline-driven environment.
- Ability to work during non-business hours as the need arises.
