Community Manager

We’re looking for a skilled Community Manager to lead the operations of a 300-unit apartment community in the Loma Verde area of San Jose, CA, while also overseeing additional properties in our portfolio. This role is pivotal in ensuring efficient property operations, fostering resident satisfaction, and maintaining high standards of service, compliance, and financial performance. The Community Manager will take ownership of all aspects of property management, from daily operations to optimizing financial performance and building strong resident relationships. You’ll ensure adherence to budgets, oversee rent collection, and coordinate maintenance, all while guiding an on-site team to deliver exceptional customer service. Essential Duties and Responsibilities:

  • Oversee daily property operations, making key decisions to ensure seamless service and optimal tenant experience.
  • Manage budgets and ensure financial goals are met, providing detailed analysis of budget variances and implementing cost-control strategies.
  • Independently oversee the full spectrum of property management duties, including leasing, tenant relations, maintenance, and financial management, with a focus on maximizing occupancy and achieving budgetary goals.
  • Oversee rent collection, maintain low delinquency rates, and ensure timely submission of financial reports to senior management.
  • Conduct regular property inspections to maintain regulatory compliance and safety standards, actively managing relationships with vendors for maintenance and repair tasks.
  • Maintain occupancy levels through effective leasing practices and market awareness, regularly conducting market surveys and recommending adjusting rental rates as appropriate.
  • Cultivate a welcoming, responsive atmosphere for residents, promptly addressing inquiries and concerns to enhance tenant satisfaction and retention.
  • Coordinate resident move-in/move-out processes, performing unit inspections and updating systems to ensure efficient vacancy tracking.
  • Develop and implement initiatives to improve resident communications, proactively handling service requests and concerns.
  • Provide direct supervision and mentorship to on-site staff, fostering a positive team environment and ensuring adherence to company policies and operational best practices.
  • Deliver ongoing training to staff in areas such as customer service, compliance, and workplace safety, supporting both individual growth and team cohesion.
  • Coordinate and manage maintenance tasks, utilizing internal teams and external vendors as necessary.
  • Ensure all lease files are accurate and complete, conducting periodic reviews to maintain compliance with Fair Housing laws, OSHA standards, and company policies.
  • Regularly submit required reports to the Regional Manager, including variance reports, maintenance logs, and financial statements.
  • Oversee administrative tasks, including office scheduling, timely bank deposits, and accurate record-keeping for all management activities.

Qualifications and Skills:

  • Bachelor's degree in Business, Real Estate, Management, or related field, or equivalent experience.
  • Minimum of five years of property management experience, with a background in financial management, leasing, maintenance oversight, and tenant relations.
  • Demonstrates strong independent judgment and decision-making skills, with the ability to manage complex property issues and make sound decisions under pressure.
  • Exceptional leadership and communication abilities, effectively engaging with residents, staff, vendors, and senior management.
  • Proficient in financial management, including budgeting, financial reporting, and cost control, with strong mathematical skills for accurate calculations of rates, ratios, and percentages.
  • Technologically proficient, with experience using property management software like RealPage, Onesite, and Lead2Lease, as well as general office applications such as Google Suite; adaptable to learning new software quickly.
  • In-depth knowledge of legal and compliance requirements, including Fair Housing laws and OSHA regulations, with a strong focus on maintaining compliance across all operations.
  • Strong customer focus with a commitment to maintaining financial health and achieving business goals.
  • Sensitive to confidential matters, maintaining discretion and integrity in all interactions.
  • Highly organized and detail-oriented, with the ability to efficiently manage multiple tasks and responsibilities.
  • Property Manager certification (e.g., CAM, CCRM, CPM) is highly desirable.

Physical Demands:

  • Frequent travel between properties.
  • Ability to conduct on-site inspections, including walking, climbing stairs, lifting, pushing, and pulling up to 5 pounds with one hand.
  • Repetitive substantial movements (motions) of the wrists, hands, and/or fingers, such as typing.
  • The employee is required to have close visual acuity to perform activities such as preparing and analyzing data and figures and transcribing and viewing a computer.
  • Must be able to sit, stand, reach, bend, and stoop for extended periods of time.
  • Ability to walk around the property several times daily (walk up to 3-7 miles per day and climb up to 3 flights of stairs at one time several times daily)

Position Type and Expected Hours of Work:

  • Full-time, On-site position.
  • Required to attend scheduled shifts consistently and punctually.
  • Monday to Friday, with occasional weekends and evenings.
  • Ability to work during non-business hours as the need arises.

Additional Eligibility Qualifications:

  • Reliable means of transportation with the ability to drive a personal vehicle between properties as needed.
  • Must maintain a valid driver’s license, clean driving record, and current auto insurance.
