Administrative Assistant and Client Support
Position Type : Part-Time
Hours : Flexible; Monday through Friday, 10 : 00 AM – 2 : 00 PM (to start)
About the Role
Seeking a highly organized and detail-oriented individual to join our team as an Administrative Assistant and Client Support professional. This role combines administrative tasks with customer service duties to ensure smooth daily operations and a positive client experience. Proficiency in QuickBooks Desktop is preferred, along with excellent communication and organizational skills.
Responsibilities
- Administrative Support :
- Enter customer orders and process invoices.
- Record and process customer payments, including bank deposits.
- Review and approve vendor bills.
- Respond to vendor inquiries regarding payment statuses.
- Reconcile and categorize credit card payments.
- Send monthly account statements to customers.
- Follow up on overdue payments through collection emails and phone calls as needed.
- Scan, file, and organize documents efficiently.
- Maintain accurate records and documentation of all transactions and client interactions.
- Customer Service and Client Support :
- Assist with answering phones, providing professional and friendly support.
- Respond to customer inquiries regarding billing, account details, and order status.
- Resolve customer issues promptly, escalating concerns when necessary.
- Ensure clear and timely communication with customers about orders, invoices, and payments.
- Proactively follow up with clients to confirm receipt of invoices, payments, and statements.
- Maintain a high level of customer satisfaction by addressing concerns with empathy and professionalism.
- General Administrative Duties :
- Assist with special projects as needed.
- Perform other administrative tasks to support the team. Qualifications
- Education / Experience : Previous experience in administrative support or customer service roles preferred.
- Technical Skills : Knowledge of QuickBooks Desktop is highly preferred; familiarity with Odoo, Bill.com, and MS Office is a plus.
- Soft Skills : Strong attention to detail, excellent communication skills, and ability to manage multiple tasks efficiently.
- Work Environment : Comfortable in a part-time, flexible schedule setting.
