Essential Job Duties
Academic Records and Calendar Management
- Develop and maintain the school's master calendar, coordinating with key stakeholders to ensure comprehensive planning of academic events, special schedules, and school functions.
- Establish and maintain secure systems for student academic records, including transcripts, grade reports, and enrollment documentation.
- Oversee comprehensive course registration processes, including:
- Developing and implementing timeline for course selection and registration
- Creating and distributing course selection materials to students and families
- Processing student course requests and building individual student schedules
- Resolving scheduling conflicts and ensuring compliance with graduation requirements
- Optimizing class rosters to balance class sizes and teacher workloads
- Ensure accurate and timely processing of grade reports, transcript requests, and other academic documentation.
- Implement systematic processes for requesting, tracking, and processing new student records from previous schools, including special protocols for international students.
- Collaborate with the Assistant Head of Upper School for Student Programs on graduation planning, including verification of graduation eligibility and preparation of necessary materials.
- Coordinate logistical aspects of standardized testing, midterm/final exams, and other assessment events.
- Support college application processes by maintaining and providing accurate transcript and testing data.
- Serve as an active member of the Academic Council, providing data-driven insights to support academic planning and decision-making.
- Serve as a key liaison between academic departments, students, families, and external agencies regarding academic records and scheduling.
- Communicate effectively with faculty regarding academic deadlines, processes, and student information.
- Train and support faculty and staff in the use of the school's student information system.
- Generate reports and analyses to support Division Heads, Department Chairs, and other school leaders in strategic planning and daily operations.
