Job Summary:
We are seeking a detail-oriented and proactive Site Administrator with a strong focus on financial management. This role will primarily be responsible for tracking site revenue, managing purchase orders, monitoring expenses, and maintaining accurate Profit & Loss (P&L) statements to ensure the financial health of our site operations. The ideal candidate will have a strong understanding of financial processes and the ability to work cross-functionally with various teams to support budget management and forecasting.
Schedule
Monday-Friday on-site in Osceola or Blytheville Arkansas
Site Administrator Job Responsibilities
- Revenue Tracking & Reporting:
Monitor and report on site revenues, ensuring accuracy and alignment with financial goals. Provide detailed financial reports to management on a regular basis.
- Purchase Order Management:
Oversee the creation, approval, and processing of purchase orders. Ensure proper documentation, budgeting, and compliance with financial policies.
- Profit & Loss (P&L) Management:
Prepare and maintain accurate P&L statements for the site. Track all income and expenses, identify discrepancies, and support management in making informed financial decisions.
- Financial Forecasting & Budgeting:
Assist with budgeting processes, including tracking expenditures and forecasting future financial needs. Work with department heads to identify areas for cost savings and efficiencies.
- Vendor and Invoice Management:
Collaborate with vendors and suppliers to ensure timely invoicing and payment processing. Reconcile invoices against purchase orders and ensure accurate record-keeping.
- Compliance and Reporting:
Ensure financial activities comply with internal policies, accounting standards, and regulatory requirements. Prepare reports for internal and external audits as needed.
- Cross-Functional Collaboration:
Partner with various departments (e.g., Operations, Procurement, HR) to ensure accurate financial tracking and smooth financial operations across the site.
Site Admin Qualifications
- 3-5 years working in a administrative/secretarial fast-paced environment is highly preferred.
- Must have experience working with the Microsoft Office Software package including Word, Excel, and PowerPoint.
- Strong interpersonal skills and ability to communicate effectively and professionally.
- Ability to obtain and maintain security clearance / random drug testing.
- Excellent computer and administrative skills.
- Proficiency in Microsoft Office applications, including Word, Excel, Outlook, Teams, PowerPoint, and SharePoint.
- Demonstrated ability to learn new software systems quickly.
- Excellent organizational and time management skills.
- Strong written and oral communication skills.
- Accuracy and attention to detail.
- Autonomous and Independent.
