Job Summary: Tobacco King is seeking a detail-oriented Inventory Counter to join our team! This role involves traveling to various Tobacco King locations in Northern Virginia to conduct accurate inventory counts and ensure proper stock levels.The Receiving & Inventory Specialist is responsible for managing the end-to-end receiving and inventory processes in the warehouse. This includes inspecting and processing incoming products, documenting items in the Odoo ERP system, ensuring compliance with inventory management standards, and maintaining accurate records of product details and variants. The role also involves collaborating with other departments to ensure smooth procurement and inventory management operations.
Key Responsibilities:
Receiving and Inspection:
- Coordinate with vendors and logistics partners to receive incoming shipments, verifying product quantities and conditions against purchase orders.
- Inspect all incoming products for damages, discrepancies, or incorrect items and document issues immediately in Odoo ERP.
- Manage the documentation and communication of any discrepancies with vendors and the internal team.
- Inventory Management:
- Update inventory levels in the Odoo ERP system using barcode scanners and manual inputs to ensure accuracy of stock records.
- Assign storage locations to products based on type, size, and storage requirements, and update these locations in Odoo for traceability.
- Conduct regular inventory checks to maintain accurate stock levels and identify discrepancies for reconciliation.
Purchase Order Management:
- Access and review purchase orders in the Odoo ERP system to verify product information, quantities, and pricing.
- Create and manage new purchase orders, ensuring all details such as vendor information, payment terms, and delivery dates are accurate.
- Monitor and track purchase order status, liaising with vendors and internal departments to ensure timely delivery and receipt of products.
Product Labeling and Documentation:
- Generate and print product labels for received items, including details such as product name, SKU, batch/lot number, and expiration date if applicable.
- Apply labels accurately to products and verify label accuracy using barcode scanners.
- Document all received products in the Odoo ERP system, ensuring product details and tax compliance information are recorded correctly.
Compliance and Tax Management:
- Ensure products are entered and categorized correctly in Odoo according to Virginia (VA) and Pennsylvania (PA) tax regulations, including specific tax rates for nicotine products, vape devices, and other tobacco products.
- Regularly review product entries for compliance and update tax information as needed.
Bill Creation and Financial Recording:
- Create bills for purchase orders in Odoo, reviewing and validating all financial details before finalizing.
- Attach supporting documents, such as vendor invoices and shipping labels, to bills and purchase orders to maintain complete financial records.
Cross-Department Collaboration:
- Communicate with the Procurement, Sales, and Inventory Management departments to notify them of received products and provide updates as needed.
- Collaborate with Accounts Payable to ensure timely processing of bills and payments for received items.
Process Improvement and Documentation:
- Assist in developing and refining standard operating procedures (SOPs) for receiving, stocking, labeling, and inventory management.
- Maintain and file physical and digital documentation related to inventory processes, purchase orders, and product details for future reference and auditing purposes.
Qualifications:
- Bachelor’s degree in Supply Chain Management, Business, or a related field preferred.
- 2 years of experience in receiving, inventory management, or a similar role.
- Strong knowledge of ERP systems, preferably Odoo, and proficiency in inventory management software.
- Understanding of tax regulations related to nicotine products, vape devices, and other taxable items.
- Excellent attention to detail and organizational skills.
- Strong communication and problem-solving abilities.
- Ability to work independently and as part of a team in a fast-paced warehouse environment.
Physical Requirements:
- Ability to lift and move products up to 50 lbs.
- Prolonged periods of standing and walking within the warehouse.
Preferred Skills:
- Experience with Odoo ERP or similar systems.
- Familiarity with barcode scanning and inventory tracking technologies.
- Previous experience in a warehouse environment handling diverse product types, including regulated items such as tobacco products.
