Tobin is searching for the right candidate to join our Construction and Facilities Team as our next Construction and Facilities Coordinator.
The successful candidate will possess a balance of the following qualities and administrative skills: Construction planning, permitting, bidding, coordinating and contract experience; Working knowledge of the construction process from start to final; Organized, able to maintain and sort project documentation, files and folders for ready and logical access; Self-starter, able to quickly learn and adapt to new processes; Thorough and organized, with excellent skills on project follow-through; Ownership, taking pride and responsibility of tasks and projects through completion; Team Player, able to work and communicate with a diverse team, both in-house, as well as with outside vendors, suppliers and subcontractors.
This position serves the very important purpose of acting as the “hub” of the department, coordinating and organizing projects from start to finish.
Construction Coordination: Project Bidding; Contract Preparation; Project Tracking and Scheduling; Project Cost Tracking
MS Excel and Project proficiency is a must; MS Office and Outlook are heavily used; Fluency in English and Spanish; Customer Service skills is very important, along with effective and clear Communication; Must be able to work with and coordinate a diverse team.

- Preparation and processing of Building Permits
- Purchasing and procurement
- Inspection scheduling and coordination with subcontractors
- Preparation and Organization of all Project and Closeout Docs
- Support Services and special projects
- Scheduling of Annual Service items
- Preparation and Issuance of Work Orders
- Scheduling and coordination of all service items / Work Orders
- Communication and follow-up with Tenants
- Review of Vendor Invoices
