What are the responsibilities and job description for the CENTRALIZED SERVICES SCHDULER - FULL TIME position at Toledo Clinic?
The Centralized Services Scheduler is responsible for scheduling, rescheduling, and cancelling patient appointments throughout The Toledo Clinic. Essential duties include providing excellent customer services by phone and ensuring that patients are scheduled on a timely basis and within office guidelines.
Principal Duties & Responsibilities:
Example of Essential Duties:
- Manages inbound and outbound call center activity in a timely manner.
- Answers calls courteously and professionally.
- Assists patients with scheduling appointments and answering pre-visit questions.
- Ensures the complete and accurate documentation of patient demographics and insurance information in the EHR.
- Follows up on patient appointment inquiries that are not immediately resolved.
- Works as a team player to ensure each patient receives the best possible service.
- Collaborates with physician offices as needed.
Other Essential Duties May Include (but are not limited to):
- Directs unassigned primary care patients to the appropriate providers.
- Assists as needed or directed with other department or business needs.
- Close loops on referrals.
- Track referrals.
- Other duties as assigned.
- Adheres to clinic’s policies and procedures.
Knowledge, Skills & Abilities:
Required:
- Previous scheduling experience or minimum of 2 years medical receptionist experience.
- Knowledge of insurance and medical terminology.
- Strong communication and organizational skills.
- Strong customer service skills.
- Strong computer skills.
- Excellent organizational skills and patience required.
- Ability to multitask
- Consistently arrives at work, in professional attire, on time and completes all tasks within established time frame.
- Seeks appropriate tasks when primary tasks are completed and assists co-workers as needed.
- Demonstrates adaptability to expanded roles.
- Adheres to all clinic policies and procedures.
Education:
- HS diploma or GED required.
- Medical terminology coursework helpful.
Preferred:
- Experience working in a Drs. office preferred.
- 2-5 years of relevant experience with managed care referrals.
