The Opportunity

  • Executive Support : Provide seamless, proactive support to executives, ensuring their time is optimized for strategic priorities. Manage schedules, prepare for meetings, and facilitate smooth day-to-day operations.
  • Administrative Excellence : Oversee all office administration, including complex diary and email management, travel arrangements, expense reconciliation, purchase orders, and financial processes, ensuring efficiency and accuracy.
  • Meeting & Action Management : Coordinate and prioritize meetings, including scheduling, agenda preparation, minute-taking, and action tracking. Attend meetings as required, managing follow-ups effectively.
  • Stakeholder & Enquiry Management : Serve as the primary liaison for internal and external stakeholders, ensuring professional and efficient handling of inquiries while maintaining seamless communication.
  • Confidentiality & Compliance : Handle sensitive information with discretion, ensuring confidentiality and adherence to company policies and governance requirements.
  • Document & Resource Coordination : Maintain distribution lists, shared drive access, and essential records. Prepare reports, presentations, and key documents to support decision-making and operational efficiency.

What You’ll Need To Succeed

  • Over 5 years of experience in a similar role, providing high-level administrative support to C-suite executives within large, complex organizations.
  • Highly adept at managing complex schedules, juggling multiple priorities, and anticipating executive needs with precision and attention to detail.
  • Proven ability to streamline processes, enhance efficiency, and effectively prioritize workloads in dynamic, high-pressure environments.
  • Excellent interpersonal skills, with a demonstrated ability to build and maintain strong relationships with key stakeholders.
  • Advanced expertise in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, OneNote, Teams) and the ability to quickly adapt to new technologies.
  • Trusted to handle sensitive information with the highest level of discretion, exercising sound judgment and professionalism.
