Position Summary
The Executive Assistant (EA) to the President is a high-trust, high-impact role responsible for optimizing the President's time, communication, and execution rhythm—both professionally and personally. The EA will also provide ancillary support to the broader leadership team. This role is ideal for someone who thrives in fast-paced, high-growth environments and wants to be a strategic partner to a first-time President leading a scaling business. You’ll not only manage the President’s calendar and communications—you’ll also help them prioritize better, delegate more effectively, and focus on what moves the business forward. This is a mentorship-rich, collaborative role for someone who is organized, discreet, and hungry to make an impact.
Key Responsibilities
Time & Calendar Management
- Own and optimize the President’s calendar with strong judgment and strategic prioritization - Anticipate conflicts, build in prep/focus time, and proactively reschedule as needed - Coordinate meetings, site visits, investor calls, and offsites
Email, Communication & Follow-Up
- Monitor and triage President’s inbox, flagging or handling items as appropriate - Draft or refine executive communications, internal updates, and external messages - Maintain follow-up lists and ensure timely execution
Meeting Preparation & Coordination
- Prepare agendas, pre-reads, decks, and talking points for internal/external meetings - Take clear notes, track action items, and coordinate follow-ups with stakeholders - Attend key meetings when necessary to serve as a second set of eyes and ears
Project & Task Management
- Help track President’s strategic initiatives, cascading action items to leadership as needed - Work cross-functionally to gather updates and support alignment - Maintain systems of accountability and progress tracking
Administrative & Personal Support
- Coordinate business and personal travel, logistics, and event planning - Assist with personal/family tasks to create more executive capacity (e.g., scheduling appointments, managing life logistics) - Help the President stay grounded and clear-headed by managing both professional and personal commitments - Provide administrative support to the leadership team
Qualifications
- 5 years supporting C-level executives in fast-paced or complex organizations - Exceptional organizational and time-management skills - Strong written and verbal communication abilities - Discretion and sound judgment when handling confidential matters - High proficiency with Microsoft Office, and basic project tools (Monday, ClickUp, Notion, etc.) - Manufacturing or industrial sector experience a plus

- President is spending time on the highest-value activities each week - Meetings are well-run, well-prepped, and follow-through is consistent - Communication across the company is more clear, aligned, and timely - The President has the mental bandwidth to lead, think, and scale effectively - Business and personal life are running smoothly, with fewer dropped balls and more intentionality - The EA is growing into a strategic operator and thinking partner, not just a task manager
