Summary
This is a full-time position that is responsible for administrative duties for operations and safety implementation/training. Daily activities consist of data entry, answering phones, assisting in inquiries from within and outside the company, invoicing and purchase processing for the headquarters office, handling a wide variety of tasks, and problem solving to perform the required operations and safety duties listed below. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with or without reasonable accommodation.
Responsibilities
Operations duties:
- Develop new work methods and procedures, making processes as efficient as possible.
- Enter and process all invoices and credits for the headquarters' office as needed.
- Support the internal team with all aspects compiling and merging data from various sources for monthly and long-term forecasting.
- Develop, maintain, and deliver weekly, monthly and annual reports to key stakeholders, ensuring accuracy, timeliness, and relevance.
- Assist in preparation of yearly tax renditions for Texas pipeyard inventories.
- Assist in the creation of inventory catalog numbers.
- Assist, if needed, in the creation of purchase orders for the headquarters’ office.
- Perform inventory adjustments after review has been completed direction of director
- Review OCTG tallies for accuracy, and create a supporting spreadsheet as needed.
- Administer and maintain Casper's headquarter customers, vendors and correspondence files on the server as needed.
- Assist, if needed, in the training of new hires pertaining to order entry. This includes teaching new employees proper entry procedures and integrating them smoothly into company operations Gathers and analyzes information skillfully identifies and recommends problem resolution in a timely manner.
- Analyze internal procedures, formulate and recommend proper changes as needed.
- Maintain all store files on the server: Act as liaison with I.T. to monitor and set permissions, access, etc.
- Update and maintain User Manual on Report2Web.
Safety Programs and Reporting duties:
- Create, implement and maintain the TPS Safety Program.
- Lead investigations and work with the Operations Director, regarding all investigation details.
- Travel to Store Locations and perform Safety Trainings and Audits.
- Create and conduct training presentations.
- Research and suggest training topics/resources to provide specific or targeted training.
- Develop & Enforces RAVS (Review and Verification Services) programs and Safety Manuals.
- Liaison to end users for safety variance requests.
- Liaison with Legal/Risk depending on issue.
- Submit required compliance reports.
- Track and Report Safety Measurements such as TRIR.
Qualifications
- An Associate's degree with two to four (2-4) years of experience in related business functions; or an equivalent combination of education and/or experience may be considered.
- Knowledge of Industrial Safety Programs, Training and Reporting.
- Proficiency with Microsoft Word, Excel, PowerPoint and Outlook required.
- Possession of a valid driver’s license with an acceptable Motor Vehicle Record (MVR).
- English language fluency, verbal and written.
- Acceptable results of a pre-employment background check and drug/alcohol test.
