Position: Scheduling Coordinator

Position Summary
The Scheduling Coordinator is responsible for assisting their Administrative Account Manager with reviewing, completing, and updating schedules for the clients portfolio if sites. This position will also be responsible for reviewing daily and weekly reports as pertains to the schedules, hours officers have worked, missed shifts, etc.
Essential Job Functions:
Reviewing daily reports, such as TeamTime, under hours, open holes, and overtime reports
Reviewing dispatchers log and review/update any schedule changes and updates to absence trackers for any/all issues noted for sites in your account managers portfolio(s).
Completing the weekly schedules for all sites in your account managers portfolio(s).
Provides updated needs list based on openings in schedules, overtime in schedules, upcoming resignations, terminations, etc. to the recruiter twice weekly (Monday and Thursday) for recruiting purposes
In the absence of the Administrative Account Manager, meet with new officers when they come in for processing to give them their schedules, site expectations, account managers information, etc.
Other duties as assigned.
Qualifications:
Minimum 1 year of professional-level experience required, managing schedules in a fast-paced, service organization.
Prior experience in the security industry, law enforcement, military and/or customer service preferred.
Must be able to secure and maintain a valid Department of Criminal Justice Service (DCJS) Guard License.
Must have and maintain an unexpired state driver’s license with a driving record that meets Top Guard’s driving record matrix and have the ability to safely operate a Top Guard vehicle.
Will be required, occasionally, to drive to client sites for client visits, quality assurance checks, and to address scheduling or employee issues. Must provide own reliable transportation for travel.
Ability to write effective and concise reports and document operations and security officer facts and circumstances, investigations, and counseling sessions. Must be able to effectively communicate coaching, counseling, corrective actions, and termination meetings in a professional manner in accordance with company standards.
Required Knowledge, Skills and Abilities essential to job functions:
Demonstrate working knowledge of personal computers and Microsoft Office software mandatory.
Ability to learn and efficiently operate various timekeeping. payroll, and guard management programs, such as WinTeam, eHub and CompleteReport.
Energetic and focused personality with a demonstrated ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines.
Must demonstrate a high level of integrity, and apply rules, policies and employment actions in a consistent, fair and equitable manner in all situations.
Strong organizational and planning skills.
Ability to multitask and work under tight deadlines in a fast-paced environment.
Professional, articulate and able to use good independent judgement and discretion.
Outstanding verbal and written communication skills required. Must be able to read, write and speak English in a clear, concise manner.

Must be able to work a full-time schedule on a consistent basis, maintain excellent attendance and work as needed to accomplish required workload.
This position is performed in an office setting however, will require regular client and officer visits on site.
The ambient noise level is usually quiet, consisting of normal conversations, business machines and telephones but occasionally may be above-normal for portions of the shift. Onsite noise levels will vary.
The employee must be able to concentrate on details, work under deadline pressures, apply sound logic and judgement and prioritize tasks and responsibilities.
Must be able to focus and multi-task in busy environment with the ability to successfully handle stressful situations in a calm and professional manner at all times.
Must be able to clearly speak, read and write English.
