Top Gun Truck Driving Academy is seeking a highly organized and customer-focused individual to join our team as a Receptionist / Office Assistant in our burley location. This position plays a critical role in supporting the daily operations of our office while providing exceptional service to our students and ensuring smooth administrative processes.
Responsibilities:
- Student Registration: Assist in registering new students for the academy’s programs, ensuring all required paperwork is completed accurately and promptly.
- Data Entry: Enter and maintain student information in our system, ensuring that all data related to enrollment, permits, and other vital documents are updated and accurate.
- Follow-Up: Reach out to students daily/weekly to provide status updates on their permit processes, ensuring they are on track and offering assistance when needed.
- Funding Agency Coordination: Understand and assist with the requirements of funding agencies, ensuring students have the necessary paperwork and support to secure funding.
- Customer Service: Provide excellent customer service by answering phone calls, addressing inquiries, and providing students with accurate information about our programs, processes, and requirements.
- Phone Etiquette: Professionally handle incoming calls, directing them to the appropriate departments, and ensuring that all inquiries are addressed in a timely manner.
- Bilingual Communication (Spanish): Speak Spanish fluently to communicate effectively with Spanish-speaking students, ensuring their needs are met and providing assistance in both languages.
- Organizational Skills: Maintain an organized office environment, including filing paperwork, managing schedules, and handling office supplies and other administrative tasks.
- Computer Skills: Utilize office software and systems to update student records, send communication, and track important data. Comfortable using word processing, spreadsheets, and other office tools.
- General Office Experience: Previous office or administrative experience is essential, including familiarity with office equipment, filing systems, and multitasking in a busy environment.
Qualifications:
- Strong organizational and multitasking abilities.
- Excellent customer service and communication skills.
- Fluent in both English and Spanish (required).
- Proficiency in Microsoft Office Suite and data entry systems.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Previous office experience preferred.
