Job Description:
Top Plumbing is seeking a highly organized and tech-savvy Office Administrator to oversee daily office operations, ensuring efficiency and excellent customer service. This role is ideal for a detail-oriented problem solver who thrives in a fast-paced environment, takes initiative, and enjoys a mix of administrative, financial, and customer-facing responsibilities.
Key Responsibilities:
Customer Service & Communication
- Answer and manage incoming phone calls with professionalism and warmth.
- Serve as the primary point of contact for customers, addressing inquiries and coordinating service appointments.
- Maintain proactive communication with technicians and customers to ensure seamless scheduling and service execution.
Scheduling & Dispatching
- Coordinate and manage technician schedules to optimize efficiency.
- Utilize Housecall Pro and other scheduling tools to assign jobs and track progress.
- Adjust scheduling based on workload, technician availability, and customer needs.
Administrative & Financial Tasks
- Process invoices, handle accounts receivable, and follow up on outstanding payments. Maintain accurate records of transactions and customer accounts. Organize and update customer and job data within HousecallPro and other CRM systems.
Office & Systems Management
- Develop and improve office procedures to streamline operations.
- Ensure smooth workflow by maintaining organized digital and physical records.
- Assist with general office upkeep and supply management.
Marketing & Social Media Management
- Create and schedule engaging content for Facebook and Instagram using Canva, Capcut, and Meta.
- Monitor social media interactions and respond to customer inquiries as needed.
- Maintain a consistent brand presence across social platforms.
Required Skills & Qualifications:
✅ Tech-savvy – Proficient with Housecall Pro, Microsoft Office (Excel, Outlook, Word), Canva, Capcut, and social media tools.
✅ Strong customer service skills – Able to communicate clearly, professionally, and proactively.
✅ Organized & detail-oriented – Ensures accuracy in scheduling, billing, and office operations.
✅ Problem solver – Able to handle last-minute schedule changes and customer concerns with ease.
✅ Self-motivated & independent – Can take ownership of tasks and work efficiently without constant supervision.
✅ Team player – Works well with technicians, customers, and management to keep operations running smoothly.
✅ Ability to multitask – Comfortable handling multiple responsibilities in a fast-paced environment.
Preferred Qualifications (Nice to Have):
- Prior experience in office administration, customer service, or dispatching.
- Familiarity with plumbing, home services, or contractor-based businesses.
- Experience in bookkeeping, invoicing, or financial record-keeping.
Work Schedule & Benefits:
- Full-time, 40 hours per week.
- Hourly pay: $17-$20/hr, based on experience.
- Paid Time Off.
- Partially remote, with limited office time required, based in Columbus, MS.
