We are a growing small business in Malvern, PA, seeking a full-time Administrative Assistant to play a key role in our daily operations. Position Overview
As an Administrative Assistant, you will be an essential part of our operations, supporting sales, customer service, and daily business functions. Your organizational skills and ability to multitask will help keep our business running smoothly while also assisting with sales-related tasks such as order processing, invoicing, and customer follow-ups. This is a great role for someone who enjoys engaging with customers, problem-solving, and working in a dynamic, fast-paced environment.
Key Responsibilities
- Customer & Sales Support: Handle inbound calls, respond to emails, and assist customers with inquiries, estimates, and orders.
- Scheduling & Coordination: Arrange appointments, meetings, and maintain team calendars.
- Administrative Duties: Prepare and distribute correspondence, reports, and documentation.
- Data Management: Maintain and update customer records, databases, and filing systems accurately.
- Order Processing & Invoicing: Support the sales team by processing orders, managing invoices, and tracking inventory.
- Team Collaboration: Work closely with sales, operations, and service teams to ensure smooth workflows and efficient task completion.
What We’re Looking For
- Experience in an administrative or sales support role (experience in a skilled trades or construction-related industry is a plus).
- Strong proficiency in Google Suite, Gmail, MS Windows, and QuickBooks.
- Excellent communication and organizational skills.
- Ability to multitask, prioritize, and problem-solve in a fast-paced environment.
- A positive, proactive attitude and a willingness to learn.
