Job Summary
We are seeking a highly organized and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer support while managing various administrative tasks. The Receptionist will play a crucial role in maintaining a welcoming environment and ensuring efficient office operations.
Duties
- Greet and assist visitors, ensuring a positive first impression of the organization.
- Manage phone systems, directing calls to appropriate personnel and taking messages as necessary.
- Learn how to write auction catalog, take pictures of auction items.
- Learn how to use the auction systems, help customs pay, pick up or shipping.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Handle calendar management, scheduling appointments, and coordinating meetings for staff.
- Provide clerical support including filing documents, proofreading materials, and preparing correspondence.
- Utilize QuickBooks for basic financial record keeping and invoicing when required.
- Maintain a clean and organized reception area to enhance the office environment.
- Assist with customer support inquiries, addressing concerns promptly and professionally.
Experience
- Proven experience as a Receptionist or in a similar administrative role is preferred.
- Strong computer literacy with proficiency in Microsoft Office Suite and familiarity with phone systems.
- Experience with QuickBooks is a plus but not mandatory.
- Excellent organizational skills with attention to detail in all tasks.
- Ability to manage multiple responsibilities while maintaining a high level of professionalism.
- Strong communication skills, both written and verbal, to effectively interact with clients and team members.
