Position Summary:
Reporting to the Marketing Data Manager and working closely with the firm’s marketing and business operations team, the Marketing Proposal Coordinator is responsible for preparing fee and qualification-based proposal responses, including Requests for Qualifications (RFQs), Requests for Proposals (RFPs), and Government Standard Forms, as well as supporting the development of matrices and spreadsheets.
Key responsibilities include writing and maintaining resumes, project descriptions, client references, firm and market sector profiles, and supporting the development of presentations, interview materials, and client leave-behinds. Additionally, this role assists with website organization and updates, public relations campaigns, and marketing/proposal data input and tracking using CRM databases such as Cosential and Ajera.
Essential Functions:
- Work closely with technical staff and the marketing team to coordinate and develop compelling proposals, qualifications packages, and presentations in response to client requests that highlight TCT’s experience.
- Maintain and update marketing materials, such as project descriptions, firm information, and staff resumes.
- Research and track upcoming opportunities, industry trends, and client needs.
- Support the planning and execution of marketing campaigns, social media outreach, and conference participation.
- Manage and maintain marketing data and assist in updating CRM database (Unanet Cosential and Ajera) per company standards, as required.
· Edit and proofread documents for grammar and clarity to ensure client requirements are met.
· Complete and maintain standard forms and other required materials as requested by clients and as directed by Marketing Data Manager.
· Support the Marketing Management Team and assists with strategy, development and implementation of marketing campaigns and business development initiatives.
· Assist in managing Outlook calendar of requests and due dates for fee and qualification packages.
· Respond in a timely manner to marketing department email and phone requests from clients.
Position Requirements
· Experience and Education: 1-3 years of relevant work or internship experience. Bachelor’s degree in English, Marketing, Business, Journalism, Communications, or a related field preferred. Experience in the Architecture, Engineering, or Construction industry preferred, but not required.
· Writing & Editing Skills: Excellent writing, proofreading, and editing abilities with a keen eye for detail. Ability to tailor responses to address client needs effectively.
· Time Management & Organization: Strong ability to manage multiple projects, prioritize tasks, and meet deadlines in a fast-paced environment.
· Technical Proficiency: Proficiency in Microsoft Office Suite and Adobe Creative Suite, particularly Adobe InDesign. Experience with CRM databases (e.g., Deltek, Cosential) is a plus.
· Communication & Collaboration: Strong verbal and written communication skills, with the ability to work collaboratively across teams.
· Proposal & Marketing Experience: Familiarity with writing and responding to proposals and qualifications requests (e.g., RFPs, RFQs, LOIs) preferred.
