We are looking for a friendly, organized, and reliable Front Desk Representative to join our dynamic team at Total Balance Massage and Wellness, a multi-faceted wellness facility that includes massage therapy, a dance studio, and red light/infrared sauna services. The ideal candidate will be the first point of contact for our clients, providing exceptional customer service and supporting daily operations. This role involves answering phones, scheduling appointments, checking clients in and out for sessions, assisting clients with booking dance classes, maintaining cleanliness and laundry, and ensuring a welcoming atmosphere.
Key Responsibilities:
- Client Interaction: Answer and direct phone calls professionally, respond to inquiries about our services (massages and stretch, wellness treatments and dance/fitness classes), and provide accurate information.
- Appointment Scheduling: Book, confirm, and reschedule client appointments for massage services, red light and infrared sauna sessions, and dance classes through Vagaro system.
- Client Check-In: Greet and check in clients, ensuring they feel welcome and prepared for their services.
- Facility Cleanliness: Maintain cleanliness and organization of the front desk area, treatment rooms, sauna rooms, dance studio, and common spaces. Perform light cleaning duties such as wiping down surfaces and restocking supplies and laundry.
- Customer Support: Assist clients with any special requests or needs during their visit, ensuring a positive experience across all services.
- Payment Processing: Process payments, handle client accounts, and ensure accurate billing for services.
- Service Information: Provide clients with information about massage options, sauna benefits, class schedules, and any other wellness services offered.
- Facility Management: Monitor schedules to avoid double-booking, manage session times, and ensure the smooth operation of both the massage and dance services.
- Inventory Management: Assist with tracking and maintaining inventory and supplies for all services offered.
- Team Support: Assist other team members with tasks as needed and provide support to the overall operation of the facility.
Qualifications:
- High school diploma or equivalent.
- Previous experience in customer service, reception, or a front desk role is preferred.
- Strong communication skills, both verbal and written.
- Ability to multitask in a fast-paced environment and remain organized.
- Basic knowledge of scheduling software or the ability to learn new systems quickly.
- A positive, friendly demeanor and a focus on delivering excellent customer service.
- Interest in wellness services, massage therapy, or dance is a plus.
- Comfortable performing light cleaning and maintaining a clean and inviting space.
