The Assistant Project Manager (APM) at a fire prevention company plays a critical role in supporting the execution of major installation and service projects aimed at fire protection and prevention systems. The APM works closely with the project management team, field staff, and clients to ensure that projects are completed on time, within budget, and to the highest quality and safety standards. This role involves coordinating resources, managing project documentation, and assisting with the overall delivery of fire prevention systems in residential, commercial, and industrial settings. Focus on fire sprinkler and hood & duct system.

Responsibilities

  • Assist the Sprinkler and Kitchen Projects Manager in planning and coordinating projects from start to finish, including preparing project schedules, managing project budgets, and overseeing the project's day-to-day operations.
  • Coordinate with stakeholders such as clients, building managers, fire officials, and installation crews to ensure smooth execution of the project.
  • Assist in the review of system designs, blueprints, and installation plans to ensure they meet all regulatory requirements, codes, and standards.
  • Help manage the procurement of materials and equipment necessary for each project.
  • Monitor project progress and handle any issues that arise, ensuring work is completed within the designated timeframe.
  • Communicate effectively with all parties involved in the project, including reporting on project status to the Fire Alarm Project Manager.
  • Participate in job site visits to ensure quality control, code compliance, and adherence to safety protocols.
  • Assist in tracking project budgets, monitoring expenses, and ensuring that projects stay within financial constraints.
  • Help prepare and review invoices and payments for contractors, suppliers, and vendors.
  • Maintain up-to-date records for all projects, including project files, documentation, reports, and correspondences.
  • Support the implementation of quality control procedures, ensuring that all work complies with relevant fire safety regulations and company standards.
  • Help track and manage project risks, identifying potential issues and working with the team to develop solutions.
  • Contribute to the continuous improvement of project management processes and procedures.
  • Maintain accurate and up-to-date project documentation, including contracts, change orders, RFIs (Requests for Information), and site reports.
  • Assist in preparing regular project status reports, providing updates on timelines, budgets, and progress.
  • Ensure that all project documentation is properly archived for future reference and compliance purposes.
  • Stay updated on industry trends, advancements, and changes in fire and life safety regulations.

Qualifications

  • Associate or bachelor’s degree in project management, Engineering, or a related field.
  • At least 1-2 years of experience in project management or a related field, preferably in fire protection, construction, or engineering projects.
  • Familiarity with fire prevention systems, including fire alarms, sprinkler systems, and suppression systems.
  • Experience using project management software (e.g., Microsoft Project, Procore, or similar).
  • Prior experience in the fire alarm industry or a similar field is highly preferred.
  • Excellent organizational and project management skills.
  • Strong verbal and written communication skills to effectively interact with clients, contractors, and internal teams.
  • Strong problem-solving skills and the ability to work under pressure.
  • Strong attention to detail and commitment to quality
  • Ability to work in a fast-paced environment with changing priorities
  • Team player with a proactive attitude
  • Willingness to learn and grow within the field of fire protection
  • Ability to travel to different project sites as needed
  • Certifications (optional but preferred):
  • Project Management Professional (PMP) or Associate in Project Management (APM)
  • Fire Protection-related certifications (e.g., NICET, Fire Alarm System Design, etc.).

Physical Requirements

  • The job may require moderate physical labor including activities such as lifting equipment, climbing ladders, or working in confined spaces.

Salary : $65,000 - $90,000
