The Manager, Office Administration is responsible for overseeing and managing the daily administrative operations of the office to ensure efficiency and effectiveness. This role serves as a central point of coordination for office functions, provides high-level administrative support to the leadership team, and ensures compliance with company policies and procedures. The Office Manager plays a critical role in fostering a professional and productive work environment.
Key Responsibilities:
Administrative Operations Management
- Oversee daily administrative functions, ensuring the office operates efficiently and smoothly.
- Develop and maintain office policies, procedures, and workflows to enhance operational efficiency.
- Manage vendor relationships, including office supply procurement, service agreements, and facility maintenance contracts.
- Coordinate and manage office equipment and technology to ensure functionality and accessibility.
Leadership Support
- Provide high-level administrative support to the leadership team, including scheduling meetings, preparing reports, and managing correspondence.
- Serve as a liaison between leadership and staff, ensuring clear communication and timely resolution of administrative issues.
Financial Administration
- Assist with budgeting, tracking office expenses, and ensuring adherence to financial policies.
- Process invoices, manage expense reports, and coordinate with the accounting department as needed.
Human Resources Support
- Facilitate orientation and complete all onboarding activities such as verifying I9 documentation and ensuring onboarding paperwork is complete for new hires.
- Support HR functions such as onboarding, offboarding, and maintaining employee records.
- Coordinate staff training sessions, team-building activities, and other employee engagement initiatives.
- Ensure compliance with workplace safety regulations and company HR policies.
Office Organization and Efficiency
- Maintain a clean, organized, and professional office environment.
- Optimize space utilization and implement solutions for efficient storage and resource management.
Event Coordination and Special Projects
- Plan and execute company events, meetings, and training sessions, including logistics, catering, and communication.
- Assist in the development and execution of special projects assigned by leadership.
