We are looking for motivated individuals to join our team as Scheduling Coordinators - bilingual is a plus! The Scheduling Coordinator supports multiple T2T pediatric dental practices in and around San Antonio. The Scheduling Coordinator position has many opportunities for cross-training, growth and advancement. This is an entry level position so while experience in dental or healthcare is preferred it is not required.
JOB RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
- Answer inbound calls to schedule or reschedule patient appointments.
- Make outbound calls to patient base to confirm, schedule or reschedule appointments.
- Schedule, change, and/or cancel appointments using the Open Dental Software.
- Obtain all pertinent information for the appointment, including patient personal and insurance information
- Notate all calls in Open Dental Software appropriately
- Apply correct dental codes to all appointments to coordinate with insurance
- Maintain prompt arrivals and consistent attendance - frequent tardies, absences or schedule changes are not a good fit!
- Maintain professional communication with offices and other Patient Services departments i.e. chat, email and phone
- Learn to operate new office technologies/protocols as they are developed and implemented
- Must be able to work both independently and cooperatively in team settings
SKILL REQUIREMENTS
- Excellent oral communication skills that convey clearly, positively and professionally over telephone.
- Strong computer skills and ability to use practice software systems
- Always maintain the highest level of confidentiality to HIPAA standards.
- Excellent interpersonal skills to maintain positive rapport with patients and other team members
- Effective verbal skills to communicate clearly and professionally with patients and staff
- Must be detail oriented in order to work efficiently
- Must be flexible and understand that job duties and work schedule may change depending on the needs of the company
- Must demonstrate active listening by giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
- Must demonstrate good reading comprehension by understanding written sentences and paragraphs in work-related documents.
- Ability to type 45 words per minutes
QUALIFICATIONS
- High School Diploma or GED Certificate.
WORKING CONDITIONS/PHYSICAL REQUIREMENTS
- Contact Center environment
- Standing 5%.
- Sitting 95%.
- Moderate noise levels from surrounding team members
- Minimum moving requirements of 25 pounds in order to transfer supplies in office after delivery
- Exceptional hand dexterity and typing skills to work with standard software programs provided.
- Hearing – Must be able to hear telephonic equipment and comfortably communicate with patients and others by telephone and in person.
- Near Vision—the ability to see details at close range (within a few feet of the observer) as view the computer screen daily
- Office is on second floor so individual must be physically able to climb up and down two flights of stairs multiple times a day as needed.
