Responsibilities :
The Division of Neonatology at St. Christophers Hospital for Children is seeking a motivated, dependable, hard-working individual to serve as the lead administrative assistant to the neonatology faculty. The Division of Neonatology is comprised of 18 faculty members, 4 advanced practitioners and 9 neonatal-perinatal medicine fellows. Our faculty work in three Neonatal Intensive Care Units (NICUs), St. Christophers Hospital for Children, Phoenixville Hospital and Temple University Hospital. The qualified candidate will help support the division.
The Administrative Assistant provides administrative support for the department and leadership. Responsibilities include calendar management preparing reports, handling correspondences, reception and answering telephone calls.
Performs various duties to support the operations of the department. The Responsibility and Accountability 'meets standards' when :
- Outreach - Maintaining communication with our referral physicians by sending weekly updates, discharge summaries and other promotional materials. Maintenance of an up-to-date phone and email list of the referral physicians. Maintenance of database with admissions and discharges in the NICU.
- Clinical Research - Assist faculty with regulatory requirements for serving as sites for multi-site clinical trials. Prepare documents and protocol for Institutional Board Review submission. Assist with database maintenance of the Childrens Hospital Neonatal Consortium database, which provides benchmarking data for 34 free-standing childrens hospitals in this country.
- Schedules - Input the physician call schedule into the hospital-wide system to ensure hospital operators can contact the on-call physician. Maintain an up-to-date telephone and address database for all faculty, advanced practitioners and fellows in the division. Complete approval process for excess clinical hours and administrative time logs.
- Annual Conference - Each year, the Division of Neonatology hosts a continuing medical education conference, A Day with the Newborn, which provides updates of evidenced based practices and state-of-the-art approaches to the care of the critically ill newborn. The qualified candidate will help with the organization of the speakers travel arrangements, planning the days schedule and tracking budget expenditures.
- Division reports - Create and tabulate reports of research activity : abstract submissions, publications and grants submitted and awarded. This report is an important component of our annual report for the hospital and the ACGME, the oversite body for graduate medical education. Prepare the attending evaluations by fellows for the annual meeting. Organize the annual evaluation meeting of the section chief and the individual faculty members. Complete verification requests from former attendings.
- Other responsibilities - Distribution of mail, ordering office supplies, submission of work orders, maintenance of faculty files, schedule conference room in Assurespace, organize departmental meetings and interviews including scheduling, sending reminders and organizing catering.
