What are the responsibilities and job description for the Sales and Events Coordinator position at Tower Hospitality?
Sales & Events Manager works as part of the company's marketing and sales staff. Responsibilities include to prospect and sell the hotel's facilities and rooms to groups and organizations looking to hold conferences or events as well as promote our catering services. Coordinating details of the event is an essential job duty to developing long-term relationships with clients.
JOB DUTIES
- Assist Area Director of Sales & Sales Managers in all aspects of the sales department & day to day clerical duties
- Conduct outside sales calls per goal
- Conduct new prospecting calls per goal
- Conduct maintenance calls per goal
- Answer all telephone calls – including ADOS line in the event that she is unavailable
- Assigned the Weddings Market – ie; wedding blocks, functions space and F & B needs
- Take room and meeting only inquiries and quote as needed and close the business
- Primarily responsible for meeting room & food & beverage revenue as outlined in the hotel budgets
- Prepare all BEO’s (Banquet Event Forms), proposals and contracts
- Follow up on all BEO’s and contracts to ensure they are returned signed with a method of payment prior to the groups’ arrival
- Conduct weekly BEO meetings with the staff – we will determine date and time – you will distribute a packet of BEO’s for the following weeks meetings – you will also be distributing group resume’s for groups/meetings with guest rooms. This is done in an effort to inform our staff of all groups coming in to the hotel so that we are well prepared.
- Meet and greet all clients coming into the hotel prior to their meeting beginning and be the point of contact for the on-site contact
- Order all food & beverage from caterer
- Place catering invoices in ADOS box with the folio attached showing what we charged the client to ensure profit. ADOS approves all catering invoices for payment.
- Assist Breakfast/Meetings Host as needed in getting the lunches/breaks, etc., set up for in-house meetings
- Send out “thank you” letters and Evaluation forms to all groups/meetings immediately upon their departure from the hotel. You may even give the client the letter, evaluation form, your business card and their final folio to them at the end of their meeting.
- Order all audio-visual equipment needed for in-house meetings – make certain you are aware of what a/v we actually own and have on site so that you don’t order from a/v company
- Communicate with each GM of our hotels and restaurants when detailing and booking the meeting space
- Keep our Social Media pages fresh with min 3-postings a week for all Tower Business’s
- Attend Bridal Shows and other Community Chamber and Networking Events
- Other duties as needed and outlined by ADOS
Qualifications
- Associate degree (A.A.) or equivalent from two-year college or technical school or one or more years of related experience and/or training; or equivalent combination of education and experience.
- Valid Driver’s License
- Proficient with Microsoft Programs, email, internet, and other office equipment
- Typing and keyboard efficiency
- Good problem solving and multitasking skills and ability to develop conceptual alternatives
- Able to effectively communicate both written and verbal
- Mathematical skills required and high attention to detail
- Solid interpersonal skills that allow one to work effectively in a diverse working environment
