Full job description

Fast-paced industrial paint company seeks a reliable Administrative Assistant to assist executives and office staff. The ideal candidate is energetic and has a positive attitude. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Proficiency in Microsoft Office (Outlook, Excel, Word) is required.

We are looking for a responsible, detail-oriented, and trustworthy individual to join our growing team. Must be able to multi-task and will need excellent organizational skills. Experience in Vista a plus.


Responsibilities:

  • Handle incoming and outgoing mail
  • Handle insurance-related matters such as Workers Comp & General Liability, Auto Insurance, etc.
  • Manage Company Certifications and Qualifications in a timely manner
  • Assist with Quarterly IFTA and HUT filings
  • Track and update all vehicle registrations and company certifications
  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives’ calendars and set up meetings
  • Make travel and accommodation arrangements
  • Keep up with office supply inventory
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Other Ad Hoc projects


Required:

  • General Construction knowledge preferred
  • Outstanding organizational and time management skills
  • Excellent Microsoft Office knowledge
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Excellent verbal and written communication skills
  • Discretion and confidentiality
  • High School degree

Job Type: Full-time

Pay: $60,000.00 - $90,000.00 per year

Education:

  • High school or equivalent (Required)


Experience:

  • Administrative: 3 years (Required)
  • Microsoft Office: 1 year (Required)


License/Certification:

  • Certified Notary Public (Preferred)
