JOB SUMMARY:
Under the general supervision of the Rental & Transportation Manager, the Rental Specialist assists in the managing of short-term rental equipment, rents equipment in the rental fleet, and compiles information for reporting purposes. This role is responsible for building and maintaining strong customer relations while collaborating with other internal departments (Sales, Service, Transportation, etc.).
ESSENTIAL FUNCTIONS:
- Handles all incoming customer and salesperson phone inquiries regarding rates, equipment specifications, and application.
- Quotes customers daily, weekly and monthly rental rates and delivery charges.
- Explains terms and conditions of the rental to the customer as specified from the rental contract.
- Arranges the delivery and/or pickup of rental equipment with Towlift Transportation and the customer.
- Completes rental call logs for each customer call, documenting reason for call, contact information, date, etc.
- Analyzes customer needs and provides equipment options that match their application requirements.
- Collaborates with Sales Representatives to assist in finalizing rental contracts.Assists Service Department by providing rental equipment during customer issues.
- Coordinates with the Shop Foreman to schedule service work on rental assets.
- Sets up rental contracts in dealer information system (DIS) to include customer account information, contact information, contract start / end date, asset information, and pricing.
- Creates (electronically) all rental contacts (for all locations) and distributes hard copies when appropriate for delivery.
- Maintains a good working relationship with customers and other employees.
- Manages location of rental inventory by updating the status and branch location of the Master Rental Sheet daily.
- Coordinates with asset team to ensure rental inspections are completed and proper check in / check out procedures are followed.
- Inspects and monitors rental equipment for customer abuse and reports to management with proper documentation (rental inspection report).
- Remains knowledgeable of the rental invoicing process and ensures contracts are billed promptly.
- Transfers rental assets using dealer information system (DIS) as soon as equipment is moved and updates periodic maintenance agreements.
- Communicates with off-site inventory specialists.
- Establishes consistent communication with the customer and keeps them informed of work status and any other pertinent account information.
- Is reliable and punctual in reporting for work as scheduled.
- Maintains professionalism on the job at all times.
- Performs other duties of a similar nature as required.
POSITION QUALIFICATIONS:
EDUCATION
- High School Diploma or equivalent. Bachelor’s degree in Logistics or business-related field preferred.
EXPERIENCE
- Two or more years in material handling industry preferred (lift trucks, yard trucks, railcar movers, etc.)
- At least one year of customer service experience.
ADDITIONAL REQUIREMENTS
- Proficiency in Microsoft Office suite.
- Previous experience using dealer information system (i.e., Quipware).
- Ability to work independently and to effectively prioritize demands and execute tasks.
- Capable of solving problems and facilitating meetings and processes.
- Strong written and verbal communication skills with the ability to convey information to internal and external customers in a clear and concise manner.
- Strong project management, time management, and organizational skills.
- Valid Driver's License and driving record acceptable to insurance company.
