Starting Salary : $18 per hour, depending upon qualification
- This is a PART TIME ONLY position, operating to assist the Cornelius Fire Department, averaging no more than 20 hours per week.
Job Summary
Under general supervision of the department head, performs a variety of difficult to complex secretarial and general office management duties requiring skills of a technical and specialized nature; performs related work as required. (Note : The specific job emphasis will vary based upon the needs of the particular department / division assigned.)
Essential Duties

Meets the public, answering complaints or questions relating to department operations and receives and screens calls, callers, and arranges and schedules appointments.Composes correspondence in accordance with standard policies, answers various inquiries, gives information requiring a thorough knowledge of departmental policies and procedures, processes routine matters independently.Develops and edits documents using a personal computer. May perform other database management work using applicable software.Prepares standard legal documents, requests for applications, and other official documents and papers.Prepares and processes various technical reports, documents, and materials requiring a thorough working knowledge of departmental procedures, regulations, policies and rules.Serves as secretary to division / department related commissions or committees and prepares meeting minutes, arranges room set-up, and reminder notices.Files office correspondence and records, determining proper file designation to be used and sees that the proper distribution and disposition is made of notices, memoranda, directives, and related material.Collects information and compiles reports of departmental activities as requested by the division / department supervisor.May coordinate the preparation of related and supportive budgetary information.Monitors and coordinates departmental spending, preparation of requisitions, and other purchasing functions.Responsible for maintenance of central supplies for the department.Prepares and maintains various files and records.Transcribes minutes and information to permanent records.Maintains commission or committee files.Performs other duties as required.Knowledge, Skills, and Abilities
Thorough knowledge of vocabulary, grammar, English, spelling, and arithmetic.Thorough knowledge of office management procedures.Thorough knowledge of the specific tasks and duties as required by the assigned department.Skill in the operation of office machines and equipment.Ability to perform tasks of a specialized or technical nature as may be required by the specific division / department assigned.Ability to make minor administrative decisions in accordance with laws, ordinances, regulations, and departmental policies and procedures.Ability to maintain a variety of complex clerical records and compile data for reports from such records.Ability to be well-organized, maintain attention to detail, work independently, and stay on task.Ability to effectively communicate verbally and in writing.Ability to deal tactfully and courteously with the public.Ability to establish and maintain effective working relationships with other employees.Proficient in Microsoft Office suite.Education and Experience
Graduation from a standard high school or equivalent supplemented with courses in secretarial science, business practices, office management, and specific courses and / or training as related to the requirements of the assigned department or agency. Must have experience in a secretarial and general office management capacity; or an equivalent combination of training and experience.

Personal computer, printer, calculator, copier, telephone equipment, recorder and other assigned office equipment.

Physical Demands
Work is of a sedentary nature requiring some physical activity such as walking, reaching, stooping and repetitive motion of the wrists, hands, and fingers. Exposure to atmospheric conditions normally associated with office type work.
Because this position is specific to the Fire Department, applicants should be aware of exposure to sirens and loud speakers in the workplace.Special Note
