Oversees the day-to-day administrative operations of the Commissioner of Public Works office, ensuring smooth and efficient functioning of office.Education and Experience:
Bachelor's degree from accredited college or university in business or related field; plus eight (8) years of related experience overseeing administrative operations on behalf of a senior level executive.
Qualifications:
Demonstrated knowledge of the administrative operations as well as of the policies and procedures regarding the principles of office management, supervision and record maintenance, preferably in a municipal government environment.
Demonstrated ability to interpret and prioritize requests for information and follow up as needed.
Demonstrated proficiency in the use of Microsoft Office products, including Excel and industry-specific software (e.g., CivicPlus, Munis, GIS).
Demonstrated verbal and written communication skills, including the ability to create effective reports and presentations.
Demonstrated organizational skills including the ability to work in a fast paced, deadline-oriented environment where initiative, attention to detail, and balancing multiple projects simultaneously are required.
Proven ability to accurately proofread documents.
Demonstrated ability to work independently, conduct research, create and execute departmental contracts, and manage deadlines.
Demonstrated ability to relate well to diverse populations and to help foster a community environment.

Duties and Responsibilities:
Develops and produces various reports for the Commissioner as required.
Maintains computerized records in various department systems such as ADP and Lucity.
Serves as a department liaison with Emergency Management Coordinator related to FEMA reporting.
Prepares confidential correspondence and documents.
Develops, implements, and evaluates processes, plans and strategies to support and streamline the business operational requirements of the department.
Facilitates the resolution of issues raised by residents with Department Heads and/or the Commissioner.
Provides support to the Commissioner to ensure that the department’s strategies and objectives are effectively communicated to internal and external audiences.
In conjunction with the Business Services Manager, oversees timekeeping processes for the department.
Serves as the department liaison for worker’s compensation.
Executes departmental contracts, including related payments, purchase orders, change orders, and addendums.
Assists in the preparation and administration of the department’s annual budget. In conjunction with the Business Services Manager, monitors departmental budget expenditures to assure compliance with appropriations.
Reviews and revises administrative policies and procedures, across DPW Divisions to implement standardized practices and process improvements. Ensures compliance with American Public Works Association (APWA) accreditation.
Acts as primary subject matter expert for all department databases. Provides training to DPW staff on systems.
Coordinates trainings, meetings and other special events, including developing and distributing agendas, taking and issuing minutes to all designated recipients.
Manages scheduling for DPW conference rooms.
Supervises administrative staff as required.
Supports Town policies and philosophies.
Performs other related duties as assigned.All positions may be subject to an interview process. The Town reserves the right to limit the number of qualified candidates who will be invited to participate in the examination, or any part thereof.
