Position: Administrative Assistant and Deputy Clerk

Work Schedule: 40 Hours per week

Department: Administration

Monday-Friday 8:00 am to 4:30 pm, Some Weeknights for Clerking Town Meetings, Some Weekends for Events (as necessary)

Position Type: Full Time, FT

Starting Salary Range: $37,000 - $45,000, Salary dependent on qualifications. Benefits Included

Establishes and promotes the relationships necessary to the growth and success of the Town of Haymarket. The Administrative Assistant provides hands on assistance to the Town Staff, operates the Town’s front desk and interacts directly with the Haymarket Community daily while establishing and maintaining professional community relations with residents, Town Businesses, and community members.

Responsibilities: The duties described below are indicative of what the duties the Administrative Assistant may be asked to perform; other duties may be assigned.

  • Reception and Customer Service; Provides professional customer service effectively and efficiently to citizens and visitors of the Town of Haymarket
  • Receives requests, complaints, and information from the public and relays to the proper personnel that are responsible for issue or concern
  • Plan, coordinate, create and execute the Town Quarterly Newsletter
  • Plan, create, and schedule the Town’s Social Media posts in coordination with Staff
  • Manage the Town Website to include updating the content on a routine basis
  • Perform filing, labeling, copying and mailing tasks for office, assist with maintaining optimal organization
  • Serve as a point of contact for Town Residents and community members
  • Manage the museum displays to include quarterly updates in conjunction with Town Part-time Event Coordinator
  • Work with Town Treasurer on accounts payable and receivables
  • Work with Town Treasurer on distribution and processing of annual real estate taxes and business licenses
  • Work with Town Clerk on meeting minutes, preparation of agenda packets, clerking Town Board meetings and other assistant clerk duties
  • Creation and formatting of forms/documents
  • Manage office ordering and purchasing for Staff
  • Assist the Town Staff with Town Event preparation
  • Assist with other administrative based duties as assigned
  • Provide weekly report to the Town Manager with regard to activities and work items

Skills and Qualifications: To perform this job successfully, an individual must be able to perform the essential functions satisfactorily and have high attention to detail. The requirements listed below are representative of the knowledge, skill, and/or ability required at the time of hire or for the continuation of employment.

Required:

  • Professional Customer Service Skills
  • High School Diploma or GED
  • Extensive background working with customer service
  • Experience working with Microsoft Office Suite, to include Excel, Word, Powerpoint, etc
  • Demonstration of administrative skills background.

Preferred:

  • Experience working with Quickbooks
  • Five (5) years previous experience and/or training that includes administrative support work, or an equivalent combination of education, training, and experience.
  • Notary Public Commonwealth of Virginia.
  • Experience with Website and Social Media management.

This position reports directly to the Town Manager or his/her designee

Job Type: Full-time

Pay: $37,000.00 - $45,000.00 per year
