Nature of Work:
Provide support in the areas of financial and administrative functions within the Department of Land Use. Work involves the exercise of independent judgement and initiative in accordance with the Town’s administrative and financial policies and procedures. The position involves a high degree of independent judgement, initiative, accuracy, and confidentiality.
Supervision Received:
Receives overall supervision from the Director of Land Use.

Essential Job Functions:
Receive, reconcile, and deposit Building Department permit fees with the Town Treasurer.
Reconcile and deposit permit fees for the Zoning, Wetlands, P&Z Commission, ZBA and STR Accounts with the Town Treasurer.
Provides technical or regulatory information to the public and assists the public in completing permit applications. Responsible for providing timely service to office visitors and to persons requesting information via email, mail, and telephone.
Process all Land Use and Building permit application information.
Receive and processes all Ledge Light Health District information as it pertains to permit approvals.
Prepare purchase orders for the Land Use Department using the Town financial software system (Munis).
Maintains computer data files of pertinent information regarding permits, inspections, Certificate of Occupancy, etc. as well as the Land Use Department street files.
Draft various correspondence as required.
Assists public visitors to the office by providing information, applications, and forms, directing inquiries to the appropriate officials for disposition. Collects filing fees for permit applications.
Provides information to the public and assists applicants in completing application forms for processing and issuing permits. Assists contractors and residents with site plan information for permit processing.
Organizes and determines priority of work. Work autonomously and evaluate and recommend office procedures to improve efficiency of workflow in the Land Use Department.
Position deals with a high volume of telephone calls as well as walk-in resident and contractor customer service. As well as provide information to and assist the public in completing and submitting permit applications and/or understanding regulations for the purposes of processing permit applications and issuing permits.

Ability to acquire the knowledge of State and Town statutes, ordinances, resolutions, rules, regulations, and policies of the Town of Ledyard during a reasonable period of training.
Knowledge of advanced data processing technology, operations, systems, modern office procedures, and office equipment. Ability to use a computer terminal or personal computer for word processing, data base or spreadsheet applications and the ability to type with speed and accuracy.
Knowledge of modern office practices and procedures including the operation and care of standard office equipment.
Ability to follow both written and oral instructions.
Ability to prepare accurate and effective correspondence.
Ability to handle multiple tasks simultaneously and work with interruptions.
Ability to maintain financial records and prepare accurate reports.
Ability to exercise mature judgment, maintain confidentiality, and make responsible decisions in accordance with established policies and procedures.
Ability to perform mathematical calculations quickly and accurately.

Experience and Training
Graduation from accredited business school or Community College with a certification or Associates Degree in an Office Management degree program or other business-related degree and 2 years of progressively responsible office experience; or a high school diploma or GED and four years office administrative experience reflecting progressive responsibility preferred.
