Job Summary:
The Long Lake Events Coordinator is responsible for increasing awareness of Long Lake and Raquette Lake as a four-season tourist destination. This role involves planning, creating, facilitating, executing, and implementing events, activities, and programs designed to benefit the community, including children, residents, and visitors.

Position is full time, 40 hours per week, with overtime expected, including some holidays and weekends including July 4th. Job includes a benefit package.

Essential Duties and Responsibilities:

Coordinate Events and Activities:

· Reports directly to the Director of Parks, Recreation and Tourism

· Develop and plan events, closely collaborating with the Director to entertain and educate residents and visitors. (Director approval required for all events.)

· Create, develop and maintain programming and year-round events

· Organize and manage sporting events and games tailored for different age groups as established.

· Oversee all events in Long Lake and collaborate with the Raquette Lake Events Coordinator to ensure successful event execution.

· Coordinate the use of Town buildings and the Town bus for events as needed

· Review event outcomes with the Director, providing attendance and financial reports.

· Organize and maintain inventory of event supplies in multiple DPRT storage locations.

· Coordinate volunteers for activities and events as needed.

· Organize event prizes, ribbons, plaques, and other necessary materials (e.g., food, gifts).

· Attend meetings with the Director to discuss planning and implementation of events.

· Handle necessary permits and certifications with government agencies as needed

· Work with vendors to ensure compliance with state laws

Outdoor Recreation

  • Oversee maintenance and record-keeping for Buck Mountain Fire Tower Trail & Mt. Sabattis Recreation Center, Long Lake Ball Field, Long Lake Town Beach and Geiger Arena programming
  • Support outdoor recreation facilities as directed.

Publicize Events and Activities:

  • Write weekly press releases about events, programs, and activities, and work closely with the Director to ensure consistency.
  • Social media and website updates as directed
  • Update local event calendars (newspapers, radio, online) and ensure all event details are accurate.
  • Work with the Director to produce promotional materials, such as press releases, photos, posters, publicity material and social media content.
  • Maintain and update a current events calendar across multiple platforms (I Love NY, Adirondack Experience, ROOST, etc.).
  • Ensure distribution of promotional materials, including posters and press releases.
  • Collaborate with the Director to ensure cohesive branding in all promotional efforts.

General On-Going Responsibilities:

  • Coordinate the Newcomb Youth Program and manage logistics, including registration and bus transportation.
  • Work with the Director to develop and implement safety protocols for all department activities.
  • Assist with emergency operations as required, in coordination with other departments.
  • Serve as backup to the Director for administrative tasks, including website updates and vendor coordination.
  • Fill in for the DPRT Clerk during their absence (e.g., answering public inquiries, processing mail).

Supervisory Responsibilities:

  • Supervise seasonal staff and volunteers for specific events and programs.
  • Plan, schedule, and assign tasks to staff.
  • Instruct, train, and review work to ensure quality and efficiency.

Minimum Qualifications:

  • Graduation from high school or possession of a high school equivalency diploma.
  • Two (2) years of relevant experience in event coordination, recreation management, or related fields.
  • Comfortable with public speaking
  • Strengths include organizing sporting events, games, and quick decision-making.
  • Ability to work outdoors in cold weather conditions.
  • Audio-visual experience is a plus

VEHICULAR

Applicant must have valid NYS Driver’s License and automobile; Town will reimburse work related mileage incurred.

MACHINES, EQUIPMENT OR SOFTWARE USED:

This position requires the ability to utilize general office machines (e.g. Kyocera copiers, fax machine,),projection equipment, automated screens, DVD players, popcorn machine, a computer and peripheral equipment, and an assortment of application software programs pertinent to the essential duties and responsibilities of the position.Ability to assemble (with assistance for heavy components) and operate audio sound system components.
