Job Summary
We are seeking a detail-oriented and well organized Buildings and Codes Office Clerk to join our team. The ideal candidate will be responsible for providing vital administrative, secretarial and clerical support to ensure efficient operation of the office. This role involves managing permits, scheduling inspections, answering inquiries, interacting with the public, clerical tasks, maintaining office organization and records, along with assisting with front desk duties. The Building and Codes Office Clerk will play a crucial role in the functions and workflow of the Town's Buildings and Codes Enforcement operations, and ensuring that all administrative processes run smoothly.
Duties
- Handle incoming and outgoing communications via email and phone systems with professionalism and courtesy.
- Assist in maintaining office supplies inventory and placing orders as needed.
- Provide front desk support, greeting and assisting visitors, answering questions related to the Codes Enforcement department with professionalism and courtesy.
- Perform typing/data entry duties to complete documents such as correspondence and reports for Codes Dept., Town Board, Zoning Board, Planning Board, and Fire Departments.
- Receive, process and track building permits, ensuring all permits have had an inspection within a specified timeframe.
- Schedule appointments for various inspections and meetings utilizing a centralized calendar.
- Maintain accurate and organized records of building permits, inspections, and other relevant documents.
- Utilize computer program specific to Buildings and Codes Department, file and scan documents.
- Learn and understand basic building codes and regulations.
- Perform other duties as assigned to assist with Building and Codes operations.
Qualifications
- College degree preferred and/or three years of related experience.
- Willingness to continue education, expand skills and attend workshops/seminars.
- Proven experience in an administrative or clerical role is preferred.
- Strong Organizational skills.
- Excellent communication and customer service skills.
- Proficiency in Microsoft Office Suite.
- Excellent phone etiquette and communication skills, both verbal and written.
- Ability to multitask effectively while maintaining a high level of organization.
- Ability to learn and utilize office computer programs: Municity, Laserfiche, and others.
- Knowledge of building codes and regulations preferred but not required.
- Attention to detail, ability to work independently, and ability to work under pressure.
- Town of Onondaga Resident, preferred.
