What are the responsibilities and job description for the Administrative Assistant position at Town of Plainfield?
The Town of Plainfield is seeking an organized and motivated candidate to serve as its Administrative Assistant to the Town Clerk’s Office and The Select Board.
The number one duty of the AA is to be present and to greet and assist the public at the front window and on the phone. We need someone who feels they are able to be physically present 2.5 days a week – with the option to work from home the additional 4 hours a week. The AA is also very important during election cycles, taking an active role in assisting voters and managing ballots. The third primary duty of the AA is to assist the selectboard, including helping to orient new selectboard members.
Duties include, but are not limited to:
Receive and process payments from the public
Answer office phone - take messages, direct calls, monitor voicemails
Fulfill resident requests for tax/property info
Receive and process U.S. Mail
Document and file unrecorded documents
Process dog license applications - paper documents and enter into NEMRC
Create, print, and hang notice of office closure signs on front door
Work with the webmaster to make sure items are posted to the town website and on other social media.
Move documents to the basement vault as needed.
Maintain lists
Maintain A-frame sign notifying public of due dates
Assist the public with vault records searches
Coordinate with Lister team
Taking minutes at the selectboard meetings
Work capably with Zoom, setting up meetings and sending out Zoom links.
This position needs someone who thrives in a high intensity setting, is very organized and interested in taking an active role in town government. We use Google products for our email and documents, so experience with gmail and google docs is preferred. Above all else this person must have excellent people skills – someone who does not get ruffled easily dealing with a wide variety of residents who request a wide variety of supports.
