Set Director of Vienna Youth Players (Part-Time)

The Set Director of Vienna Youth Players will design and build the sets for the Vienna Youth Players’ summer musicals. The Set Director will be responsible for overseeing the building of the sets from start to finish. This process includes offering the director design visions to choose from, shopping for supplies, scheduling tech days, coordinating adult and student volunteers, building the set, educating students on safe, best practices for building, asking for, picking up and returning any borrowed supplies and set pieces from local schools or organizations, and taking down the set during strike at the end of the summer. The Set Director will collaborate with the Director and the rest of the creative leadership team to ensure that the director’s vision of the production is turned into a reality in a safe, effective, and impressive manner. 

The set director works under the supervision of the Director of Vienna Youth Players. 

Work Hours: The set director will be expected to attend:

• Design and logistical meetings 
  • Occur before and during the rehearsal process. The Director will schedule design and logistical meetings. 
• Tech days
  • The Set Director is responsible for scheduling tech days in coordination with the Director, Assistant Director, and Scenic Charge Artist, keeping rehearsals and reservation time periods in consideration. 
  • Rehearsals: 7:00 p.m.-10:00 p.m. Monday through Friday, June and July 
  • Additionally Reserved Times Available for Tech upon request. 
• Strike on July 27th and 28th. 
• The Set Director is not required to attend the show, but they will receive a complimentary ticket should they want to. 

2025 Production Dates: July 19, 20, 25, 26.27

All new employees must satisfactorily complete a background check.  A conditional offer of employment may then be made contingent upon the successful completion of drug and TB tests.

The functions listed below are those that represent the majority of the time spent working in this position. Ultimately it is the director’s responsibility to complete tasks needed to produce the show so additional tasks may be required. 

Essential Functions:

Design the Set

• Attend design and logistical meetings.
• Go through the script and chart out set changes. Compare this with the Director’s notes and vision and adjust if necessary.
• After hearing the overall design concepts from the show, offer set design options.
• Collaborate with the Scenic Charge Artist to choose paint colors and design concepts.

Borrow, Purchase, and Bring Supplies and Set Pieces

• Reach out to local schools and organizations to ask to borrow set pieces or supplies and coordinate pick up and returns.
• Provide, borrow or, if neither are possible, purchase supplies needed to build the set. 
• Coordinate both adult and student volunteers for picking up and returning supplies and set pieces.
• Collect tax exempt forms from the Recreation Program Coordinator for stores you intend to shop at. 
• Complete a vendor form for yourself and any volunteers making purchases. 
• Track purchases and send receipts to the Recreation Program Coordinator II, Events for reimbursements.
• Adhere to the budget provided by the Director.
• Coordinate with the Vienna Community Center staff to drop off materials and supplies at times during which the stage is available. 

Lead Tech Days

• Schedule tech days in coordination with the Director, Assistant Director, and Scenic Charge.
• Arrive at least 15 minutes prior to each tech day than when the volunteers are expected to arrive.
• Coordinate student and adult volunteers to help build the set. 
• Supervise all students and adult volunteers throughout the tech day.
• Delegate responsibilities to students and adult volunteers.
• Pack up and clean the stage and surrounding areas at the end of each tech day.
• Communicate progress and plan at the end of each tech day with the Director, Assistant Director, and Scenic Charge.

Lead Set Strike

• Coordinate student and adult volunteers to help take down the set and return supplies and set pieces to their original owners. 
• Rent a U-haul (to be reimbursed by the VCC) to return set pieces and supplies. 
• Coordinate with the Recreation Program Coordinator II, Events for a truck to be present to pick up trash. 
• Provide or borrow supplies used to take down the set such as drills, screw drivers, etc. 
• Delegate responsibilities to student and adult volunteers.
• Clean and pack up the stage at the end of strike.  

Qualifications 

• Ability to communicate clearly and effectively, orally and in writing. 
• Ability to give, understand, and carry out oral and written instructions. 
• Ability to provide effective VYP staff, student, and volunteer coordination. 
• Ability to resolve disputes with firmness and impartiality. 
• Knowledge of first aid practices and techniques. 
• Ability to demonstrate professional work habits including reliability, dependability, punctuality, adaptability, creativity, and enthusiasm for the job. 
• Ability to fulfill all duties with ethical conduct, individual initiative, creative problem solving, and responsive service. 
• Ability to interact professionally and cooperatively and establish and maintain effective working relationships with customers, coworkers, supervisors, participants, the general public, and all those encountered in the course of work 

3-5 years of experience in theater set construction or comparable experience.

Special Certifications and Licenses:

Must be able to obtain CPR and First Aid certifications. The Town of Vienna will provide training opportunities if needed.
