Definition

Semi-skilled manual work relating to the preparation and disassembly of classrooms and facilities for revolving programs, events, and services offered at Elder Services; professional, administrative work, as well all other related work, as required.

Supervision

Works under the supervision of the Director of Elder Services. Assists with program responsibilities for a multipurpose facility; Works with all Elder Services staff to coordinate and run comprehensive schedule of activities, outreach, and transportation programs, for residents 60 .

Job Environment

Work is generally performed in typical office conditions which may be moderately noisy to loud at times; may require some evening or weekend work depending upon the program schedule.

Functions independently within broad scope of established Town and Department policies and goals; recommendations to programs, client problems and/or potential for adverse public relations are referred to Director for clarification.

Operates computer, telephone and standard office machines; operates an automobile and a van.

Makes frequent contacts requiring perceptiveness with participants, other town departments, State and local officials, community leaders and citizen groups serving the elderly.

Errors in judgment could result in hardship to the town's elderly population, legal repercussions, and financial loss, missed deadlines, potential injury lower standards of service to the community, and negative public relations.

Individual judgment and the application of professional knowledge and experience are required in selecting the appropriate practices, procedures, regulations, or guidelines to apply in each case

Essential Functions

The essential functions or duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.

Supports all Elder Services staff to ensure smooth operations in the department are met including but not limited to monitoring the physical facilities.

Sets up and disassembles designated areas as required for many revolving scheduled programs; moves furniture, equipment, supplies, and maintains cleanliness between programs, etc. Assures that each program room is cleared at the conclusion of the revolving programs scheduled throughout the day. May participate in activities/programs as necessary.

Maintains organization of the Elder Services storage facilities including 3 supply closets, one garage, a kitchen, and a medical equipment loaner closet. Maintains inventory of senior center program supplies including kitchen supplies; prepares lists of supplies to be ordered and orders under the direction of the Assistant Director. Maintains the cleanliness of the kitchens including routine cleanout and sanitation of the numerous freezers and refrigerators used to store donated food.

Point of contact for distributing program refreshments throughout the week; makes sure areas are clean upon completion of each program. Substitutes for volunteer reception positions whenever volunteers are late or absent for scheduled shifts.

Serves as one of several staff contacts for the senior center during working hours. Answers questions from the seniors and their families, community advocates, and businesses regarding current activities of the Senior Center.

Assists Senior Program Assistant, volunteers, and other staff in preparing the monthly newsletter for distribution and mailing.

Supports all special events programs as needed sometimes requiring a shift in weekly hours.

Uses Elder Services Van to pick up and deliver items as needed including; mail, purchases from local stores, bulk food orders from local restaurants and other transport as required for program success. Photocopies and assembles materials as need by other staff for scheduled programs and events. Performs similar or related work as required. Acts as a first responder providing basic first aid to seniors in emergencies.

Recommended Minimum Qualifications

Education and Experience

High school education; experience working with the elderly; or any equivalent combination of education and experience. Special requirements include the possession of a valid motor vehicle operator’s license, candidate will become certified in First Aid, C.P.R., and Defibrillation and must pass a CORI test to be hired. Candidate should have compassion for the elderly and the ability to interact with the elderly in an empathetic, compassionate, and sensitive manner.

Knowledge, Skill and Ability

Knowledge. General knowledge of best practice customer service and adaptable to the concerns of senior citizens. Working knowledge of the community and regional social services. Knowledge of office practices and procedures. Working knowledge of municipal operations and functions. Knowledge of MS Office including Word.

Skill. Must be able to work in a fast paced, very busy environment which is often noisy and constantly interrupted with customer requests, needs and wants. Must be able to adapt and change daily routines based upon the needs and wants of the senior population we serve. Candidates must have advanced skills in Word and will be trained on our own senior center software. Position also requires a valid Massachusetts Driver’s License. CPR and Food Serve certification a plus, but classes will be offered to the right candidate. Superior customer service skills.

Ability. Ability to operate various types of office equipment, including a computer, copier, and phone. Ability to multitask and work in fast paced environment and able to organize electronic databases and records. Ability to communicate both in writing and verbally to a diverse group including but not limited to staff, citizens, and department heads.

Physical Requirements

Minimum to intermediate physical effort required in performing duties under typical office conditions. The employee is frequently required to use hands and reach with hands and arms. Position requires daily tasks such as repetitive setting up chairs, move folding tables and lifting boxes. Specific vision requirements include close vision and distance vision.
