Description : Job Summary :

As the first point of contact for visitors, tenants, and vendors, the Front Desk Representative is responsible for providing exceptional customer service, rent collections, and managing administrative duties. This individual will also handle utility connections, appliance ordering, and ensure the front lobby is clean and always welcoming. Courtesy, professionalism, and attention to detail are essential to maintaining the smooth operation of the front office and creating a positive experience for everyone who enters.

Duties and Responsibilities :

  • Greet and assist visitors, tenants, and vendors with professionalism and a courteous attitude.
  • Handle rent collections, ensure accuracy, and process payments in the property management system.
  • Coordinate utility connections for tenants, including ensuring timely setup and disconnection as necessary.
  • Order appliances as directed by Property Managers, ensuring timely delivery and installation.
  • Maintain cleanliness and organization of the front lobby and ensure a professional atmosphere at all times while following the dress code as outlined in the company handbook.
  • Manage intercom and allow visitors inside the building.
  • Answer and direct phone calls to the appropriate department or staff member, addressing inquiries when possible.
  • Maintain and update tenant records, ensuring accurate information is recorded in the management system.
  • Assist with administrative tasks as needed, supporting the team in daily operations.

Requirements : Qualifications :

  • Excellent customer service skills with a professional demeanor.
  • Strong communication skills, both verbal and written.
  • Ability to manage multiple tasks efficiently and with a high level of organization.
  • Familiarity with rent collection procedures and property management software is a plus.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Physical Requirements :
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 25lbs.
  • Education and Experience :

  • High school diploma or equivalent required; experience in property management or office administration is preferred.
