Job Summary
The Administrative Assistant to the Principal provides high-level administrative, organizational, and communication support to the Principal, ensuring the smooth and efficient operation of the Principal’s office while fostering positive relationships with students, staff, parents, community members, and other stakeholders
Qualifications
- Experience as an executive assistant or in senior administrative support preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Slides), and other office technology.
- Strong interpersonal, communication, and organizational skills.
- Exceptional written communication skills, including strong grammar, proofreading, and editing abilities to ensure accuracy and clarity in correspondence, reports, and official documents.
- Ability to handle confidential information with discretion and professionalism.
- Demonstrated ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
- Strong problem-solving skills, attention to detail, and a commitment to accuracy.
- Oversee the day-to-day operations of the Principal’s office to ensure efficiency and organization.
- Maintain an orderly and comprehensive filing system for records, reports, and official documentation.
- Organize and manage the daily substitute process for building staff.
- Serve as the primary point of contact between the Principal’s office and internal/external stakeholders, including students, staff, parents, and community members.
- Manage and prioritize all incoming communications—phone calls, emails, and mail—responding directly or routing inquiries appropriately.
- Promote a welcoming and professional environment by providing exceptional customer service in all interactions.
- Manage the Principal’s calendar, including scheduling appointments, meetings, and events.
- Ensure compliance with district policies, state regulations, and Board procedures related to communication and recordkeeping.
- Handle sensitive personnel and administrative information with a high level of confidentiality and discretion.
- Perform additional duties as assigned by the Principal to support the building’s operations and strategic initiatives.
- Frequent interruptions and shifting priorities.
- Requires sitting for extended periods, with occasional lifting of materials (up to 30 lbs).
- High level of interaction with staff, community members, and stakeholders.
