General Statement of Position:
Assist the Public Works Director and other supervisory staff by performing and coordinating responsible administrative support services and related work as required. Performs a variety of support work, including departmental reports, as well as skilled, clerical and administrative tasks.
Job Duties / Responsibilities:
- Acts as principal assistant on administrative matters
- Acts as liaison with other departments
- Drafts schedules
- Answers phone calls and interacts with the public regarding container facility permits, recycling regulations; refers calls regarding additional county services to proper divisions. and handles all other resident correspondence
- Maintains various files, records, and databases
- Prepares, enters and manages Purchase Requisitions and Purchase Orders into accounting purchasing system
- Maintains and updates contract and resolution data for purchasing
- Plans, schedules and/or attends meetings, maintains calendar and schedules appointments for staff
- Disseminates incoming / outgoing mail and email
- Prepares and processes requisitions, billing, and purchase orders for all department purchases; processes payment requests, reviews bill lists, and follows up to ensure payments are issued; obtains quotes from vendors
- Maintains and updates all department files including DEP files
- Maintains and orders office supplies and equipment
- Maintains and renews vehicle registrations; updates vehicle lists, for all departments
- Maintains Fuelmaster data- updates vehicle and user data; processes invoices quarterly for outside users
- Maintains and orders staff/employee uniform clothing and safety shoes
- Receives calls and walk-ins, directs to appropriate authority for disposition, responds to inquiries when appropriate
- Review and/or prepares spreadsheets and general correspondence
- Maintains log and work order requests for Roads Department, including keeping track of road and drainage complaints
- Maintains time and attendance records for all Public Works employees; vacation, sick time, and personal day usage
- Posts and updates department information board
- Assists with welcoming new staff and training on time clock system and department procedures
- Maintain and update salting and snow plowing routes, prepares route books for all staff/employees
- Undertakes special projects as assigned
- During snow emergencies will perform dispatching duties for employees that are snow plowing etc.
- Maintains recycling data records for annual recycling tonnage report; assists Director in preparation of report for submission to DEP
- Performs other miscellaneous administrative tasks as assigned

Pay: From $28.48 per hour
