Tract Title’s Title Specialist is the center heartbeat of the work we do every day. A Title Specialist’s role is to orchestrate all parties involved in a singular closing throughout the close timeline with care, communication, and precision. This position takes ultimate responsibility for the clearing of the title commitment, education of clients/agents on issues and their resolution plan, as well as accuracy of all closing documents to ensure that the closing takes place on the planned date. A Title Specialist is always looking outside the box for solutions to title issues all the while maintaining a calm demeanor with the parties involved in the transaction. The best analogy for this position is a duck. Smooth on top of the water, but paddling fast underneath to get to where you need to go.
- Communicate with clients and partners/vendors to ensure all parties are kept apprised of their closing status (30%)
- Maintain organized files within Qualia which includes (but is not limited to): files in respective folders, notes for commitment clearing, Tract Title Tuesday update card up-to-date for team, and all request information provided automatically through the system reflective on the settlement statement (30%)
- Review commitments the day the search team submits and create a clear roadmap in the Commitment Clearing folder in Qualia to ensure that files are handled efficiently and “ahead of the curve” (10%)
- Submit files to closer at least 24 hours before close for pre-closing audit and make any necessary changes to file (10%)
- Prep all legal documents needed for files to close and submit to legal review at least 72 hours before close, and make any necessary changes to the documents (10%)
- Organize closing schedule in conjunction with Director of Operations as well as the Customer Liaison to ensure all files are on the closer calendar as well as all cancellations are reflected in the system (10%)
Success as a Title Specialist is directly tied to the CRR KPI. CRR stands for customer retention rate. This is calculated by subtracting the number of new orders from the number of orders at the end of the previous period then dividing it by the number of orders at the start of the period and multiplying it by 100 to come up with a percentage ((NCE-NEW)/NCS))x100. Success as a title specialist truly is defined by how many agents/lenders want to continue to bring their clients to Tract for closings. Another component of success in this role is accuracy which is driven by being detail oriented. Files should be submitted to the closers for review with everything in place from the contracts, lender financials, and title calculations. The last component to success in this position is efficiency. There’s a fine balance in this day-to-day role of accuracy versus efficiency. But files can be “stepped and repeated” with adherence to procedures and processes.
