Overview:
The Accounting/HR Intern provides quality administrative support to our Accounting, Human Resource, and Payroll departments. They will assist with a wide range of tasks related to various accounting activities, HR compliance, recruiting and hiring, employee benefits, and special projects. It is imperative that this employee be friendly, helpful, inquisitive and portray a positive image of the Company at all times. The Intern works directly with proprietary information and must maintain confidentiality in all aspects of the jobs’ duties.
Responsibilities:
- Assist Accounting team with verifying transactions, weekly cash report and cash projection, filing sales tax returns, submitting customer billings and monitoring collections, and more.
- Answer and forward incoming phone calls
- Work with department heads on needs in each department
- Screen resumes and online applications
- Schedule and confirm interviews with candidates
- Assist HR with new hire onboarding including coordinating of pre-employment drug screens, new hire paperwork, employee benefits, etc.
- Perform employee transactions in HR/Payroll systems including new hires, change of status, wage increases and employment separations
- Assist in scheduling and coordinating leadership training
- Assist with weekly payroll processing and benefit deductions
- Assist HR with employee file maintenance for both electronic and physical files
- Provide general administrative support to the finance team (e.g. filing, scanning, mailing, generating reports)
- Assist in entering vendor invoices in payable system
- Assist finance team with data entry in various software
- Assist finance team with special projects and month-end closing and year-end audit preparation
- Assist marketing team with employee engagement events and preparation, as well as distribution of the quarterly company newsletter
- Assist purchasing Department with entering purchase requisitions and setting up subcontractors and vendors in company accounting system
- Comply with all Company Core Safety Rules, policies and procedures.
- Report any unsafe conditions wherever they exist to the safety department, their supervisor, or the management of Trade Construction immediately.
- Report all incidents/accidents/injuries involving the health and wellbeing of any employee to management immediately.
Qualifications:
- Currently enrolled in an undergraduate degree program with an interest and aptitude to work in Accounting, Finance, Human Resources or related field
- Excellent verbal and written communication skills
- Attention to detail
- Proactive, positive and professional nature
- Ability to perform tasks with discretion, poise and often confidentiality
- Proficient in Microsoft Word, Excel and Outlook
