Job Description
Trans Ova Genetics is seeking a full time Office Assistant to join them in our Madison, WI office! In this position, you could expect to work equally between our front office and our shipping department. In our front office, we expect this position to take inbound calls and walk-ins, coordinate schedules, and other miscellaneous office duties. In our shipping department, this position would in both domestic and export shipments and coordinate the appropriate procedures and documentation to ensure safe, timely shipping. Our ideal candidate would have strong interpersonal and professional skills while able to maintain an organized mentality in a fast-paced environment. Experience in the agriculture industry is preferred, but not required!
Key Responsibilities
High School Diploma or G.E.D.
Physical Requirements/Working Conditions
Primarily an indoor office environment.
Able to lift 50lbs.
Other Skills/experience
Prior computer experience in Microsoft Word, Publisher, Excel, and Outlook.
Must be friendly, dependable, and possess a high degree of professionalism.
Seeking a self-starter capable of multitasking and prioritizing.

Key Responsibilities
- Answer incoming phone calls, determine purpose of callers, and forward calls to appropriate team members or departments.
- Retrieve messages from voice mail and forward to appropriate team members.
- Answer questions about the organization and provide callers with addresses, directions and other information.
- Prepare and receive incoming and outgoing genetic shipments for customers.
- Input customer data, along with helping coordinate the input of all data with all departments.
- Welcome on-site visitors, determine nature of business, and announce visitors to appropriate team members.
- Organize and track the maintenance of company fleet vehicles.
- Partake in maintaining frozen semen and embryo inventory.
- Maintain a clean workspace and assist in the upkeep of the building.
- Organize and track promotional materials.
- Organize and code monthly credit card statements for the location.
- Follows Trans Ova’s policies and procedures.
- Maintains a professional image representative of Trans Ova’s industry position.
- Other duties as assigned by supervisor.
