Summary
The Special Events Coordinator (SVC) for the Transgender Health & Wellness Centers (TH&WC) maintains and executes plans for all special socials, events and fundraisers. They oversee set up and break down, create and maintain a functional fundraising committees, event strategic plans to meet goals and expectations, marketing and social media for events and materials, marketing material inventory, staff marketing communication and strategies to clients and patients, management recruitment and retention of volunteers, to meet the mission and vision of TH&WC through volunteer engagement and community activism. This position requires a high level of experience with the LGBTQ community with a high focus on the Transgender, Gender Non-Conforming and Intersex (TGI) community. The SVC works with and develops an integrated system at all TH&WC locations to maintain volunteer bases to supervise events at each location as needed.
Responsibilities
- Must have a minimum of two (2) years' experience with the TGI community.
- Plan, coordinate, and execute special events that align with TH&WC's mission and goals.
- Manage all aspects of event logistics, including venue selection, catering, and guest services.
- Collaborate with team members, chair committees, to develop event fundraising, themes and marketing strategies.
- Negotiate contracts with vendors and service providers to ensure quality and cost-effectiveness.
- Oversee event budgets, ensuring all expenditures are tracked and reported accurately.
- Foster relationships with community partners to enhance event participation and sponsorship opportunities.
- Evaluate the success of events through feedback collection and analysis for continuous improvement.
- Must have strong organizational skills with meticulous attention to detail.
- High level of professionalism, excellent communication and interpersonal skills to work effectively with the event team, volunteers, vendors, and attendees.
- Categorizes and maintains volunteer roster to assist TH&WC where there is a need.
- High level of Flexibility and adaptability to handle the diverse nature of events, excellent problem solving and critical thinking skills, and handle highly stressful situations professionally.
- Creativity and a willingness to brainstorm and implement innovative event ideas to meet mission and vision.
- Must have a very personable and persuasive ability, be professional and have the ability to motivate others to assist in events.
- A passion for social justice issues, advocacy and a high level of understanding for the TGI community and its allies.
- Preferably speaks both Spanish and English.

- Strong communication skills to effectively engage with diverse stakeholders.
- Demonstrated ability to negotiate contracts and manage vendor relationships.
- Experience in event marketing strategies to promote attendance and engagement.
- Organizational skills with a keen attention to detail in managing multiple projects simultaneously.
- High emotional intelligence and ability to manage stress.
- Ability to work collaboratively within a team environment while also being self-motivated.
- Ability to motivate and manage volunteers to meet events mission and goals.
