Description

This full-time position serves as the first point of contact for visitors and callers, ensuring a welcoming and professional experience. The Receptionist is responsible for greeting and directing guests, managing high volumes of calls, handling administrative tasks, and providing exceptional customer service in a fast-paced environment.

The schedule for this position is Tuesday-Friday 8:30am-5:00pm; holidays as scheduled.

Responsibilities (What You Do)

  • Answer and direct incoming calls promptly and professionally.
  • Provide accurate information to callers or connect them with appropriate personnel.
  • Take, relay, and route messages as needed.
  • Greet and assist visitors, ensuring a positive experience.
  • Maintain the Out-of-Office (OOO) calendar and manage relevant updates.
  • Update and maintain employee information in the database (Scotland Yard).
  • Assist with inventory management and ordering of office and kitchen supplies.
  • Distribute mail, faxes, and deliveries, including coordination with satellite offices.
  • Process death certificates efficiently and coordinate with medical providers for timely completion.
  • Manage death certificate corrections when necessary.
  • Create and maintain a clean, organized, and welcoming work environment.
  • Address staff inquiries and provide administrative support as needed.
  • Adapt to a dynamic environment with frequent interruptions while managing multiple responsibilities.
  • Perform other duties as assigned by the supervisor.

Requirements (What You Need)

  • High school diploma or equivalent, with at least one year of relevant work experience.
  • Strong computer literacy, including proficiency in Microsoft Outlook, Excel, and Word.
  • Ability to sit at a computer and perform repetitive tasks for extended periods.
  • Effective communication skills and attention to detail.
  • Capability to lift up to 50 pounds as needed.
  • Flexibility to work scheduled or unscheduled overtime, sometimes with short notice.
  • Willingness to master necessary TL agency software and processes.
