Job Description: TransMedics has developed a comprehensive, nationwide program for organ retrieval and management, designed to increase the utilization of donor organs for transplantation through our advanced Organ Care System (OCS) technology platform. This program is supported by our state-of-the-art Logistics Command Center, which ensures efficient coordination and operational excellence. Transplant Logistics is a vital division within TransMedics, responsible for overseeing all aspects of our transplant logistics operations. This team plays a key role in supporting the ongoing growth of the National OCS Program (NOP), encompassing data analytics, network design, capacity planning, product and program management, and the seamless execution of both air and ground logistics. These operations are managed from our world-class, 24/7 Logistics Command Center based in Andover, MA, ensuring that we continue to deliver exceptional service and expand our capabilities to meet the growing needs of the transplant community. The Scheduler/Dispatcher is responsible for the strategic planning and coordination of aircraft schedules and crew assignments, ensuring efficiency and alignment with mission requirements. This role oversees the full execution of each mission, from start to finish, proactively anticipating and addressing the needs of TransMedics teams to ensure seamless operations. Essential Functions Include but Are Not Limited To: Receive and respond to incoming calls for flight requests from crew or TransMedics team. Plan and schedule aircraft and crew assignments efficiently, taking into account crew availability, training, and other scheduling conflicts (e.g., sick leave, PTO). Select appropriate aircraft and crew for each mission, ensuring compliance with all operational requirements. Ensure FBO is informed of aircraft arrival and departure times and obtain necessary PPRs and flight slots. Coordinate with FBO, fuel providers, and flight planning teams in the event of weather delays or re-routes. Ensure hangar availability during inclement weather and arrange for de-icing when needed. File legal flight plans and ensure all required permits (landing, overfly, etc.) are obtained. Track all aircraft in flight and monitor crew duty times in accordance with Federal regulations. Review and verify weather conditions, NOTAMs, and alternative airports for planned departures and arrivals. Identify, anticipate, and take corrective action to minimize delays due to scheduling conflicts, crew legality, maintenance issues, or other operational disruptions. Vet all personnel through TSA’s TFFSP program as required. Ensure compliance with all FAA regulations, including crew pairings, weather alternates, and operational restrictions. Collaborate with Maintenance teams to coordinate aircraft repositioning, cleaning, or repairs as needed. Complete and maintain accurate aircraft and crew logs daily. Submit post-flight expense reports and resolve any discrepancies.
