Job Function: The primary role is to assist the Plant management staff with an emphasis on completing delegated tasks. The second role is Document Control as it relates to all pertinent procurement documentation and regulatory compliance (Delivery Tickets, Calibrations, Invoices, etc.), as well as vendor approval. Third is Inventory Control as it pertains to Plant Consumables (Chemicals, Cleaning Supplies, QA Supplies, Packaging, Lab, and Office Supplies, etc.).

DUTIES AND RESPONSIBILITIES

Specific: The tasks list below is not comprehensive and is only defined and limited by the Plant Management staff through delegation.
  • Plant Management Support
  • Keeps an open line of communication with Transpacific Food to ensure all needs are met and timelines are met.
  • Assists with onboarding new personnel as delegated by Plant Management
  • Assists Plant Management in documentation for audit preparation.
Document Control: The primary goal is to organize and retain all documents as they relate to Plant processes. It may be delegated by the Production, Warehouse, or Quality Control manager to assist with the development of audit documentation.
  • Store, manage, and track company documents.
  • Organize and maintain documents, adhering to the company's document lifecycle procedures, and records retention schedule.
Inventory Control: General duties are listed below, however, the minimum requirements are: accurate and timely inventories and monthly cycle counts.
  • Compiles and maintains records of quantity, type, and value of inventory presented by the department.
  • Posts totals to inventory records in QuickBooks or spreadsheets. Compares current and previous inventory against waste reports to identify inventory variants.
  • Forwards variants and suggested adjustments to Plant Management staff for review and correction.
  • Receives inventory into QuickBooks via an inventory receipt (IR) and removes via a Bill of Lading (BOL).
Purchasing: General duties are listed below and minimum requirements to complete the job are reflected in our Purchasing & Receiving Procedures.
  • Compiles information from departments and records to prepare purchase orders for procurement of supplies, packaging, and vendor projects.
  • Verifies nomenclature and specifications of purchase requests.
  • Searches inventory records to determine if the material on hand is in sufficient quantity.
  • Review catalogs and interview suppliers to obtain prices and specifications.
  • Keep vendor information up to date in QuickBooks.
  • Enters information into QuickBooks to create a purchase order that meets the requirements reflected in the company’s Purchasing & Receiving Procedures document.
  • Consult with suppliers concerning late deliveries.
  • May verify bills from suppliers with purchase orders and purchase order requests to confirm bills for payment.
  • Entering accounts payable into QuickBooks

General duties:
  • All other tasks as assigned by Plant Management
  • Responsible for reporting any food safety concern and empowered to do so

QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED) and two years of experience in related admin work within a manufacturing facility.

LANGUAGE SKILLS Ability to read and comprehend instructions, short correspondence, and memos. Ability to write effective correspondence and communicate. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.

MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret miscellaneous drawings and schematics.

CERTIFICATES, LICENSES, REGISTRATIONS: Driver’s license

LENGTH OF DAY/WORK WEEK Approximate 40-hour workweek. Overtime may be required.

While performing the duties of this job, the employee is frequently exposed to moving mechanical parts. The employee is occasionally exposed to wet and/or humid conditions; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; outside weather conditions; risk of electrical shock; and vibration. The noise level in the work environment is usually moderate to occasionally loud.
