What you will be doing: Working closely with our team to manage our daily needs, including but not limited to:

  • Welcome visitors and direct them to the appropriate personnel
  • Answer phone calls, take messages, and deliver promptly
  • Maintain seamless office operations
  • Collaborate with team members for efficient office management
  • Oversee clerical tasks like sorting and sending mail
  • Maintain and organize both physical and digital files
  • Assist with inventory management
  • Manage accounts payable and receivable using QuickBooks Online
  • Assist with payroll processing and employee expense reports
  • Prepare and maintain financial reports, budgets, and forecasts
  • Coordinate with suppliers and customers to manage invoices and payments
  • Schedule appointments and manage calendars

Qualifications:

  • Experience with QuickBooks Online required
  • Proven experience as an Office Assistant or in a similar administrative role
  • Excellent organizational skills and meticulous attention to detail
  • Proficient in computer skills, including Microsoft Outlook
  • Experience with SmartSheets and Ordant (preferred but not required)
  • Strong problem-solving abilities
  • Superior verbal and written communication skills
  • Ability to work both independently and as part of a team
  • High school diploma or equivalent

Job Type: Full-time

Pay: $17.00 - $22.00 per hour

Expected hours: 8 per week
