What are the responsibilities and job description for the Field Trip Coordinator position at TRANSPORTATION?
JOB SUMMARY
This position is responsible for the coordination of all student and staff arrival and departure, all off campus field trips and other special events and programs. Management and record keeping of all school buses and other vehicles used by the programs, and the assignments and scheduling of all drivers.

This job has no supervisory responsibilities.
ESSENTIAL JOB FUNCTIONS
- Works in partnership with District, city and community agencies in the planning, implementation and evaluation of a collaborative model for field trips, after school programs and other activities/events.
- Meets all applicable deadlines.
- Learns, interprets and applies District policies.
- Checks for approval by appropriate divisions.
- Assigns drivers and coaches assignments and buses.
- Coordinates times and cost of transportation to inquiring vendors.
- Prepares monthly reports for Accounting indicating charges for driver’s pay and mileage.
- Prepares billing for each school and/or vendor indicating charges for trip mileage and driver’s cost.
- Coordinates with the Athletic Director and School Principals to verify that all trips are covered in accordance with the pre-planned schedule.
- Assists the routing team with general routing of students.
- Informs drivers of all scheduled changes.
- Applies customer service skills with answering telephone assisting parents, principals, school personnel regarding attendance zones, bus numbers and routes and accounting information.
- Performs other duties as assigned by GIS Routing Manager.
MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
High School Diploma or State Approved High School Equivalency required; Associate’s degree preferred. 2 years of successful experience in a position involving public relations contact. Or an equivalent combination of education, experience, and/or training that provides the required knowledge and abilities.
KNOWLEDGE, SKILLS AND ABILITIES
- Knowledge of modern methods, techniques, principles and procedures used in the overall operation of field trips, after school programs and other special programs and events.
- Strong organizational abilities and computer skills are essential.
- Basic clerical skills, including maintaining files and bookkeeping procedures.
- Ability to establish and maintain effective working relationships with those contacted in the course of work.
- Ability to communicate clearly and concisely, orally and in writing.
- Ability to communicate using two-way radio.
